Job description

This is a remote position.

Schedule: Monday to Friday, 9:00 AM – 6:00 PM (California, USA) | Tuesday to Saturday, 12:00 AM – 9:00 AM (Manila Time)
Paid Working Hours per Week: 40 hours

Job Summary:

The Medical Receptionist - Referral Coordinator is responsible for managing all incoming and outgoing physician referrals, ensuring proper documentation, and facilitating seamless communication between our clinic and referring providers. The ideal candidate has experience in a medical setting, strong attention to detail, and excellent interpersonal skills to cultivate and maintain professional relationships with referring physicians and healthcare facilities.

Key Responsibilities:
  • Referral Management: Process and track incoming and outgoing referrals to and from physicians, ensuring timely scheduling and completion.

  • Physician Correspondence: Send reports, test results, and updates to referring physicians in a timely and professional manner.

  • Relationship Building: Develop and maintain strong relationships with referring physicians, specialists, and healthcare partners to ensure ongoing collaboration and patient care continuity.

  • Patient Coordination: Assist patients in scheduling follow-up appointments and provide necessary referral-related information.

  • Data Entry & Documentation: Maintain accurate referral records in the electronic medical record (EMR) system, ensuring compliance with HIPAA and company policies.

  • Front Desk Duties: Greet patients, answer phone calls, schedule appointments, and provide administrative support to the office team.

  • Problem-Solving: Address any issues related to referrals, patient scheduling, or physician communications efficiently and professionally.




Requirements
Qualifications & Skills:
  • Prior experience in a medical office setting, preferably in a referral coordination or front desk role.

  • Knowledge of medical terminology, insurance processes, and referral procedures.

  • Strong communication and relationship-building skills.

  • Proficiency in EMR systems and Microsoft Office Suite.

  • Highly organized with strong attention to detail and time management skills.

  • Ability to multitask in a fast-paced environment.

  • Understanding of HIPAA regulations and commitment to patient confidentiality.

  • Fast typing speed greater than 60 WPM

  • Minimum of 1-2 years of experience in a medical receptionist, referral coordinator, or similar healthcare administrative role.
