This is a remote position.

Role Name: Administrative Assistant

Schedule:

  • Full-time, 8 AM-12 PM and then 3 PM-7 PM (8 hours per day) on Sunday, Monday, Tuesday, Thursday, Friday (5 days per week)

We’re seeking a highly organized, tech-savvy Administrative Assistant to support our visionary founder in maintaining structure and efficiency across all business operations. In this pivotal role, you’ll serve as the organizational backbone of a rapidly growing startup, helping to coordinate between team members, stakeholders, and clients while leveraging cutting-edge AI tools to maximize productivity. Responsibilities
  • Serve as the organizational cornerstone for a dynamic founder, maintaining structure and ensuring nothing falls through the cracks
  • Expertly manage calendars, set up meetings, and provide timely reminders to keep operations running smoothly
  • Capture detailed notes during calls and meetings, distilling key action items and ensuring follow-through
  • Craft professional emails and communications using AI-powered tools on behalf of the founder
  • Process receipts and handle basic bookkeeping functions to maintain financial organization
  • Track and manage expenses, ensuring all transactions are properly documented
  • Oversee software subscriptions, ensuring they’re paid on time and properly maintained
  • Coordinate between team members, stakeholders, and clients by delegating tasks and following up on progress
  • Utilize AI tools to enhance productivity and streamline processes across the organization
Requirements
