Location: Remote

Compensation (if hired after the internship): $73K-$82K/year depending on knowledge, skills, and abilities. This is an estimate.

Summary:  

Uptima is seeking an Operations Administrator who has professional experience that will enable them to serve a variety of key needs within Operations. The ideal candidate will have proven experience working in data management and operations support roles, and preferably has experience with customer relation management (CRM) and professional services (PSA) applications, specifically Salesforce.com CRM and Certinia.  Success in this role will also require strong skills in managing, maintaining, and creating reports-for data that is critical to making business decisions.  Additionally, the ideal candidate will be able to collaborate and coordinate tasks for, and with operations management, delivery management and consultants, provide input for process improvement, solve problems and facilitate resolution of issues.


What an Operations Administrator is responsible for:        
  • Various administrative tasks related to operations, with a primary focus on data related to customer accounts, sales opportunities, projects and resources
  • Creating, updating and maintaining the following data in a CRM application and professional services application (PSA), specifically Salesforce.com CRM and Certinia, as needed to ensure data is up to date with the latest information: Customer Accounts, Sales Opportunities, Resource Requests, Projects, Project Assignments
  • Ensuring approved process and data sources are used for entering and updating data in the PSA
  • Proactively seek out solutions for solving process and data issues that may risk the accuracy of data, and escalate to management when/if needed.
  • When requested, provide input for process improvements, proactively and as needed
  • Schedule and facilitate 1-on-1 or small group meetings to complete tasks and resolve issues
  • Assist in onboarding new employees and offboarding departing employees
  • Provide general troubleshooting and support to the operations team as needed
  • Verify and maintain the accuracy of data within the Salesforce platform

What is needed to be successful as an Operations Administrator:
  • 1 to 2 years of proven experience in data management and operations support roles
  • Excellent written and verbal communication skills
  • Proficient with Google Drive, Documents, Sheets, and Slides, and experience with MS Office Suite is a plus.
  • Experience using Slack, Google Gemini and other AI products is a plus
  • Ability to operate effectively and independently on detailed tasks
  • Comfort with working in a fully remote environment using collaboration tools such as Slack, Zoom, Salesforce and GMail across a large team
  • Organizational style that enables high output across large number of tasks that require frequent re-prioritization while keeping stakeholders up to date on progress
  • Adaptability to the job and working in a fast-paced continually changing business and work environment while managing multiple priorities
  • Ability to prioritize initiatives, manage competing priorities, and execute with excellence
  • Emotional intelligence and ability to work with different personalities
  • Highest level of integrity and discretion in management of confidential information
  • Detail-oriented with a focus on data accuracy and consistency.
