About the Role
We are seeking a proactive and detail-oriented People Operations Coordinator to join our small but mighty team. This role will support and enhance our people operations at Shift Collab. The ideal candidate is someone who is passionate about employee experience, recruitment, admin and operational processes. Our team consists of mostly therapists working as independent contractors, which is the norm in healthcare, who will be the primary focus group of this role.

This role requires the ability to balance multiple tasks in a constantly evolving environment, support projects from start to finish, support a growing team with all its nuances, while proactively implementing programs to ensure all members of Team Shift (aka “Shifties”) have positive work-life experience. This role also requires creative thinking, enthusiasm and a true passion for enabling people to be their best selves.
What You’ll Be Doing
Recruitment Coordination (50%)
- Responsible for job postings, sourcing, screening, and scheduling interviews
- Managing the ATS used for recruitment (Workable)
- Management of candidate communications during each stage of the recruitment cycle
- Conducting background/reference checks, validating credentials and employment experience
- Supporting hiring managers throughout the recruitment process ensuring a seamless candidate experience
People Ops (25%)
- Maintaining personnel files and records, ensuring accuracy and confidentiality
- Gathering all new-hire paperwork, validating key information
- Coordinating, documenting and communicating payroll changes
- Supporting employee and contractor documentation, including contracts, policies, and benefits administration
- Acting as a point of contact for inquiries related to handbooks, policies, processes, or payroll and benefits
- Assisting with time-off tracking, leaves of absences, and other reporting requirements
- Coordinating onboarding and offboarding processes for employees and contractors, ensuring it’s an organized and smooth transition for all leavers
Lifecycle, Experience & Culture (25%)
- Coordinating employee and contractor onboarding processes and programs, documenting processes and making improvements where recognized
- Working with department leads to schedule, build, and plan out onboarding schedules for new joiners, ensuring a consistent and smooth integration to Shift Collab
- Organizing team engagement initiatives, wellness programs, and culture-building activities
- Embedding Shift Collabs values into the employee experience at every opportunity
- Supporting performance management processes, including check-ins and feedback collection
- Coordinating employee and contractor offboarding processes, working closely with department leads to create an organized transition for leavers and/or clients
Requirements
What You’ll Bring To The Table
- 2-4 years of experience supporting recruitment (including internships/co-op placements)
- 2-4 years of experience in recruitment and people operations administration
- Strong organizational skills with the ability to manage multiple priorities
- Excellent communication and interpersonal skills
- Proactive, resourceful, and solution-oriented mindset
- Familiarity with ATS and HRIS software (Workable is a plus!)
- Technically savvy with an open mind to learning new technologies, including AI
- Obtained, or working towards, the CHRP designation with the HRPA
Qualifications
- A bachelor’s degree or diploma in a related field is a plus, but we prioritize candidates who demonstrate relevant skills and experience
- This role requires a quiet, distraction-free workstation at home for focused work, as well as participation in daily team meetings via video conferencing.
- While this is a remote position, in-person events and meetings will take place in Toronto (or nearby locations), so candidates must reside within two hours of the GTHA and be willing to commute into Toronto at least once per month.
- Candidates should have a keen eye for detail and a proven ability to consistently follow through on tasks, ensuring high-quality outcomes. You must be comfortable working independently and efficiently in a remote environment.
- This is a fast-paced work environment. Candidates should be able to manage multiple tasks simultaneously, prioritize competing demands, and remain adaptable to shifting deadlines and priorities.
