Responsibilities: 

Vendor Management:

  • Collaborate with external vendors and service providers for legal operations support.

Special Projects

  • Take ownership of projects that will facilitate current process gaps and risks.

Coordination and Process Management:

  • Demonstrate proficiency in managing Jira and ticketing processes.

  • Coordinate and streamline workflows within the legal operations team.

  • Utilize Admin, Salesforce and Looker for data analysis and reporting to enhance operational efficiency.

  • Implement and maintain process improvements to optimize legal operations.

Invoicing Administration:

  • Take ownership of the invoicing process, ensuring accuracy and timely processing.

  • Collaborate with internal stakeholders to address any billing discrepancies or issues.

  • Maintain organized records of invoices and related financial documentation.

  • Conduct regular audits to ensure compliance with financial guidelines.

Signature Management:

  • Facilitate and manage the electronic signature process for legal documents.

  • Ability to communicate appropriately with senior leadership, reducing inefficiencies and streamlining processes.

  • Ensure compliance with internal policies and legal requirements regarding document signatures.

  • Coordinate with relevant parties to obtain necessary approvals and signatures promptly.

  • Develop and implement strategies to expedite the signature approval process, implement and maintain process improvements to optimize signing process..

Communication and Collaboration:

  • Communicate effectively with cross-functional teams to understand their legal operations needs.

  • Provide support and training to ensure proper utilization of tools like Jira, Salesforce, and Looker.

Requirements:

  • 4+ years experience in legal operations, administration, project management or a related role. 

  • Experience in corporate governance and legal operations.

  • Bachelor's degree in Legal Studies, or related field.

  • Strong proficiency in using Jira, Salesforce, Looker, and other relevant tools.

  • Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint and the Google equivalents).

  • Strong analytical and problem-solving skills.

  • Exceptional organizational skills with a keen eye for detail

  • Excellent communication and interpersonal skills.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Fluent in English.
