Renovation Project Experience: Minimum 5 years of project coordination experience, ideally in residential design-build, renovation, or general contracting environments. Materio Proficiency or Equivalent: Strong knowledge of Materio (or similar platforms like CoConstruct or Buildertrend), especially in task management, invoicing, and subcontractor tracking. Time & Schedule Management: Demonstrated ability to manage complex timelines, proactively schedule and follow up with subcontractors, and keep multi-phase projects on track across various departments. Client-Facing Professionalism: Clear communication skills and a polished presence across phone, Zoom, and email channels; able to represent designers and project managers in external-facing correspondence. Process-Oriented & Detail-Driven: Comfortable creating systems and following up on checklists, invoicing protocols, file management, and procedural documentation without daily oversight. Adaptability & Team Integration: Comfortable wearing multiple hats in a fast-moving renovation studio, capable of collaborating with designers, PMs, and subcontractors across a variety of home construction and staging projects.
Core responsibilities:
Installation & Subcontractor Scheduling: Coordinate all project installations and subcontractor schedules via Materio, ensuring materials are on-site, timelines are met, and purchase orders and markups are properly logged and tracked. Bid & Quote Management: Draft and send Request for Proposals (RFPs) using Mailchimp templates, follow up with subcontractors to gather quotes, and upload all documents into Materio, linking scope items and maintaining confidentiality protocols. Project Tracking & Timeline Oversight: Create, update, and manage project timelines using templates; communicate deadlines to subs, track project milestones, and coordinate with Project Managers weekly to keep renovations on schedule. Email & Communication Management: Serve as the liaison for clients, vendors, and subcontractors, managing inbox flow, categorizing and filing messages, and drafting emails on behalf of the design and project management team. Billing & Inspection Coordination: Issue milestone invoices via Materio, track payments, and coordinate inspection schedules with local jurisdictions, ensuring all site requirements and documentation are met. Meetings, Reports & Calendar Management: Attend daily Zoom check-ins and Thursday strategy sessions; coordinate walkthroughs, site visits, and agendas; maintain and update calendars for Project Managers and Design Coordinators.
