Role Name: Property Management & Real Estate Virtual Assistant
Schedule:
Flexible, approx 20 hours a week, 4 hours per day.
Work between CA (Pacific Standard Time) and TX (Central Standard Time) which has a 2-hour time difference between. Therefore, approx 10am-2pm CT would be ideal to serve both time zones (8am-12pm PT).
Step into a dynamic virtual assistant role where you'll be instrumental in managing a diverse portfolio of real estate investments and renovation projects. This position offers unique exposure to multiple aspects of real estate management, from coordinating short-term rental operations to overseeing long-term tenant relationships and supporting property renovation initiatives. You'll work directly with the business owner while utilizing modern property management platforms and technologies. This role provides an excellent opportunity to grow your real estate management expertise while working flexibly from your home office.
Manage comprehensive property operations including tenant communications, maintenance requests, and lease documentation
Coordinate short-term rental operations through Hostfully and Airbnb platforms
Oversee long-term tenant relationships and maintain accurate records using Stessa
Support renovation project management by coordinating material orders, deliveries, and vendor schedules
Handle financial record-keeping and basic bookkeeping tasks
Maintain detailed property management records and documentation
Process and respond to tenant inquiries and maintenance requests promptly
Assist with property marketing initiatives and tenant acquisition
Manage calendar scheduling and coordinate appointments
Support personal administrative tasks as needed
familiarity with MLS, ZipForms, Docusign, Texas Assoc of Realtors, and California Assoc of Realtors forms as strongly preferred
assistance in marketing and identifying calendar vacancies for mid-term and short-term rentals
Minimum 1 year experience in real estate, property management, or a relevant administrative role
Proficiency with Xero or QuickBooks
Proficiency with property management software (experience with Hostfully, Airbnb, or Stessa is a plus)
Strong Excel skills and comfort with learning new software platforms
Excellent written and verbal communication abilities in English
Proven track record of customer service excellence
Outstanding organizational skills with keen attention to detail
Ability to work independently and manage multiple priorities effectively
