Job description

The Executive Assistant provides high-level administrative support to the CEO and executive team, ensuring seamless operations, communication, and alignment with company priorities. This role requires exceptional organizational, communication, and problem-solving skills, as well as the ability to handle confidential information with discretion.

 

  • Company: MSPbots  
  • Work Hours and Schedule: Semi-flexible, 8 AM-5 PM CDT, Fixed rest days (Sat-Sun) 
  • Full-time work-from-home position

 

Key Responsibilities:

1. Executive Support

  • Manage executive calendars, schedules, and travel arrangements.
  • Prepare meeting agendas, minutes, and follow-up action items.
  • Serve as the primary point of contact for the CEO and executive team.
  • Lead and host meetings or conferences as required.

2. Administrative Coordination

  • Organize and maintain electronic and physical files.
  • Draft and proofread correspondence, presentations, and reports.
  • Manage expense reporting and budget tracking.
  • Handle ad hoc tasks to support executives and business operations.

3. Project Management

  • Oversee special projects and initiatives from start to finish.
  • Track project timelines, milestones, and deliverables.

4. Communication Management

  • Act as a liaison between executives and internal/external stakeholders.
  • Prioritize and screen incoming communication, responding on behalf of executives when appropriate.

5. Confidentiality and Discretion

  • Handle sensitive information with the utmost confidentiality.
  • Ensure compliance with company policies and legal requirements.

 

Qualifications:

  • Experience: 5+ years in executive support roles, preferably in a fast-paced environment.
  • Education: Bachelor’s degree in Business Administration, Communications, or related fields preferred.
  • Project management experience
  • Philippine-based only

Skills:

  • Advanced proficiency in MS Office Suite and collaboration tools (e.g., ClickUp).
  • Excellent time management and multitasking abilities.
  • Strong verbal and written communication skills.
  • Problem-solving and critical thinking capabilities.
  • Ability to lead meetings, host conferences, and manage high-level discussions.
