Job Requirements:

  • 2.5+ years proven experience in a customer service, telemarketing, or appointment-setting role with a track record of excellent performance. 
  • Exceptional verbal communication skills with a friendly, clear, and professional tone that builds trust and rapport with clients. 
  • Strong organizational skills with the ability to multitask, prioritize, and manage a high volume of calls and scheduling demands. 
  • Proficiency with scheduling software, CRM platforms, or similar tools, along with a willingness to learn new systems as needed 
  • Preferred: experience with ServiceM8, training modules available. A calm and patient demeanor when addressing client concerns, resolving issues, or handling high-pressure situations. 
  • Self-motivated and comfortable working in a fast-paced environment with minimal supervision, maintaining focus and attention to detail.

Core responsibilities:

  • Respond promptly and professionally to inbound client calls, addressing their needs and inquiries in a courteous and efficient manner. 
  • Schedule, update, and confirm client appointments while considering their preferences and the availability of relevant team members. 
  • Maintain comprehensive and accurate records of client interactions, appointments, and changes using the CRM or scheduling software. 
  • Handle client inquiries and resolve any scheduling conflicts or issues with a focus on delivering an exceptional customer experience. 
  • Work collaboratively with team members and other departments to streamline appointment scheduling processes and resolve operational challenges. 
  • Follow up with clients via phone, email, or text to confirm appointments and provide reminders to reduce no-shows. 
  • Provide feedback to management on recurring client concerns, appointment trends, or process improvements to enhance efficiency and client satisfaction.
