Job Requirements:

  • Proven experience in logistics coordination, dispatch, or a related field. 
  • Excellent communication skills, both written and verbal, with the ability to communicate clearly and effectively with diverse audiences. 
  • Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines. 
  • Ability to work independently and autonomously, taking initiative and solving problems effectively. Proficiency in using logistics software, inventory management systems, and Microsoft Office Suite. 
  • Strong understanding of transportation regulations and compliance requirements. 
  • Ability to create structured processes and report on compliance metrics.


Core responsibilities:

Overall Logistics Management:

  • Manage the end-to-end flow of goods into and out of the business, ensuring seamless warehouse operations and meeting customer delivery needs efficiently and cost-effectively. 
  • Develop and implement logistics strategies and procedures to optimize the supply chain and improve overall efficiency. 
  • Monitor key logistics metrics and identify areas for process improvement.

Inbound Logistics (Receiving):

  • Scheduling Deliveries: Coordinate with suppliers, carriers (freight truck drivers, couriers, etc.), and 3PL providers to schedule timely and efficient deliveries of stock to our warehouse, 3PL facilities, or directly to customer warehouses as needed. 
  • Planning & Communication: Proactively plan for incoming goods by communicating with recipients (warehouse staff, customers) to ensure preparedness for receiving and efficient unloading. 
  • Receiving & Documentation: Obtain accurate counts of received stock from the warehouse team and meticulously record all details in the delivery register, noting any discrepancies or damages. 
  • Inventory Management & Procurement Support: Regularly review inventory balances, compare order requisitions from sales or the warehouse against current stock levels, and raise draft purchase orders for management approval to replenish inventory as needed.

Outbound Logistics (Dispatching):

  • Order Processing & Scheduling: Release pick and pack orders to the warehouse team upon confirmation of payment from the accounts administration team, ensuring efficient order fulfillment. 
  • Pickup Coordination: Provide customers with pickup numbers as required, enforcing a "no pickup number, no pickup" policy to maintain control and accountability. 
  • Delivery/Pickup Scheduling & Confirmation: Confirm clear delivery or pickup dates and times with the warehouse team and communicate these details to customers, ensuring all parties are aligned. 
  • Order Tracking & Customer Communication: Provide customers with real-time visibility into the status of their orders using tracking systems and proactive communication, keeping them informed of any updates or potential delays. 
  • Record Keeping & Reporting: Maintain comprehensive records of order status from processing to delivery or pickup in the delivery register, ensuring data accuracy and completeness.

Compliance & Reporting:

  • Ensure all logistics activities comply with company policies, safety regulations, and relevant transportation laws. 
  • Develop and implement compliance procedures and conduct regular audits to ensure adherence. 
  • Generate regular reports on key logistics metrics, such as on-time delivery rates, delivery costs, inventory turnover, and compliance adherence, presenting findings and recommendations to management.

Communication & Collaboration:

  • Maintain open and proactive communication with all stakeholders, including customers, drivers, warehouse staff, sales, and management. 
  • Proactively address and resolve any logistical issues or customer concerns promptly and professionally.
