Min 2.5 years of proven experience as a Virtual Assistant, Customer Service Representative, or similar role. Strong verbal and written communication skills. Excellent organizational and time management abilities. Proficiency in scheduling software and CRM systems. Ability to multitask and prioritize effectively. High level of professionalism and customer service orientation. Ability to handle confidential information with discretion. Familiarity with therapy or healthcare scheduling is a plus.

Core responsibilities:

Answer and manage incoming calls in a professional and courteous manner. Schedule and book therapy sessions and appointments based on client needs. Handle general inquiries and provide accurate information to clients. Escalate complex or sensitive inquiries to the appropriate department. Maintain and update appointment schedules and calendars. Send appointment confirmations and reminders to clients. Document client interactions and maintain accurate records. Assist with administrative tasks related to scheduling and client communication.
