Job Overview

We are now looking for a dedicated and detail-oriented AU RTO Student Support & Systems Administration Officer to join our dynamic team. As an AU RTO Student Support & Systems Administration Officer, you will play a pivotal role in ensuring smooth and efficient student administrative processes, systems management, and support. Job Description

As the AU RTO Student Support & Systems Administration Officer, your key responsibilities will include:

Student Administration:
  • Manage the end-to-end student administrative processes for course delivery, including student enrolment, notifications of enrolment, and completions.
  • Handle customer enquiries, complaints, and appeals, ensuring timely and accurate responses.
  • Coordinate assessment submissions, including recording, assessor allocation, and assessment distribution.
Student Management System (Wisenet):
  • Oversee the setup and ongoing maintenance of student enrollments in Wisenet.
  • Set up qualifications according to company’s scope of registration.
  • Update assessment results and upload relevant student documentation (assessment results, evidence, etc.).
  • Issue certificates in accordance with company protocols.

Continuous Improvement & Reporting:

  • Contribute to the Continuous Improvement process by maintaining the connection between Wisenet and Survey Monkey.
  • Generate email surveys using the Wisenet student database to gather feedback.
  • Conduct AVETMISS reporting and collect quality indicator data.

Funding & Compliance:

  • Manage and report on funding arrangements as per federal, state, and territory funding contracts, ensuring compliance and accurate training plans.
  • Maintain and report on USI (Unique Student Identifier) compliance.
Operational Excellence:
  • Review and maintain current operational processes to reflect best practices.
  • Provide recommendations for process improvements to enhance efficiency.

Systems Administration:

  • Maintain and manage the company's e-learning platform, including system administration tasks, student enrollments, and qualification updates.
  • Design and develop course content for both the e-learning and short course platforms (Thinkific), ensuring that courses are up-to-date and engaging.
Additional Duties:
  • Undertake other tasks and responsibilities as delegated by the General Manager - Training.

Requirements
  • Minimum 2 years of relevant experience in a similar role within an RTO or educational environment.
  • Experience working for an Australian Client/Business is required.
  • Strong understanding of student management systems, preferably Wisenet.
  • Demonstrated ability to manage enrolment processes, handle customer queries, and ensure smooth administrative workflows.
  • Solid understanding of compliance reporting (AVETMISS, USI, funding arrangements, etc.).
  • Experience with e-learning platforms (preferably Transformed and Thinkific) and system administration.
  • Excellent organizational skills with the ability to handle multiple tasks simultaneously.
  • Strong communication and interpersonal skills.
  • Preferred Qualifications & Experience:
    • TAE40116 Certificate IV in Training and Assessment or equivalent (desirable).
    • Experience with Survey Monkey or similar survey tools.
    • Knowledge of continuous improvement methodologies and best practice processes.
  • Skills & Attributes:
    • Attention to detail and high level of accuracy in all tasks.
    • Problem-solving mindset with the ability to recommend and implement process improvements.
    • Self-motivated with the ability to work independently as well as part of a team.
    • Ability to handle sensitive information in a professional and confidential manner.
