Job description

Frost Brown Todd LLP, a national law firm of 1000+ legal and business professionals in eighteen markets, is currently seeking a Video/Webinar Conference Coordinator to join our firm. The Video/Webinar Conference Coordinator is responsible for coordinating conference rooms, video equipment and all other logistical needs for video and webinar meetings

Key Responsibilities:

  • Coordinate conference rooms, video equipment and webinar accounts for firm meetings using the firm’s calendaring software.
  • Maintain a basic understanding of how the firm’s cloud-based video conference bridge (Pexip) works and how we use it to connect meetings. 
  • Coordinate requests for PowerPoint Presentations, special external participants connections, laptop requirements, and other technical needs. 
  • Follow up and maintain open communication with requesters and IT technicians regarding special requests for depositions, interviews, webinars, and other events.
  • Proactively contact requestors to gather missing information or identify potential concerns with their requests.
  • Conduct comprehensive run-throughs for all webinars, CLE events, and any other special meetings or presentations. Prepare and test all content, polls, and interactive elements prior to the event to ensure smooth execution.
  • Serve as the host for webinars and meetings requiring special attention, guiding participants through the event ensuring a smooth experience. Collaborate with panelists to ensure seamless presentations and workshops.
  • Conduct in-house video and webinar conference meetings when requested.
  • Set up, connect and manage webinars.
  • Create and implement interactive features within virtual events, including Q&A sessions, breakout rooms and live polling.   Ensure compliance with new OH CLE requirements that mandate the use of polling for participation verification.
  • Ensure meetings are connected and start on time.

Job Requirements:

  • Some college preferred.
  • Minimum of 3 years of experience working in a professional services environment.
  • Exemplary organization and attention to detail skills. 
  • Excellent verbal and written communications skills.
  • Ability to effectively multi-task in a fast-paced environment.
  • Ability to understand and effectively utilize tools such as Recording and Transcribing, Polls, Q&A and Breakout Rooms within a Teams/Zoom meeting.
  • Self-motivated with a high level of initiative and the ability to work independently with minimal supervision while prioritizing tasks to stay on schedule.
  • A flexible and team-oriented disposition. 
  • A willingness to strive for the highest quality client service possible.
  • Advanced skills in Microsoft Word. 
  • Interpersonal skills necessary in order to communicate by telephone and in person with attorneys and business professionals to provide information with ordinary courtesy and tact.
  • Professional appearance and communications skills required to interact with FBT personnel, clients and/or representatives at the worksite.
  • Work occasionally requires irregular hours and/or more than 40 hours per week to perform essential duties of the position.
