Position Title: Data Entry/Admin Assistant
Work Set-up: Work From Home
Schedule: 6 days per week, 12:30 AM – 9:00 AM PH Time (ACT, Australia Holiday)
Salary: Php 35,000.00 – Php 40,000.00 (Night Differential included)
We are seeking a detail-oriented and highly organized Data Entry & Administrative Assistant to support our operations by ensuring accurate order processing, efficient record-keeping, and seamless communication between teams. This role is critical in maintaining smooth day-to-day business functions, particularly in order management and logistics coordination.
JOB DESCRIPTION FOR A DATA ENTRY/ ADMIN ASSISTANT
Your Responsibilities as a Data Entry/Admin Assistant would be:
• Order Processing & Data Entry: Accurately enter and update customer orders for perishable and non-perishable goods into internal systems.
• Email & Client Communication: Manage and respond to emails from clients, ensuring prompt and precise order handling.
• Logistics Coordination: Generate and distribute delivery schedules and run sheets for drivers to optimize efficiency.
• Inventory & Record Management: Maintain up-to-date records of customer orders, delivery schedules, and stock levels.
• Invoice Processing: Create, review, and process invoices, ensuring accurate documentation and timely completion.
• Team Collaboration: Communicate with warehouse and packing teams to confirm order details, resolve discrepancies, and ensure smooth operations.
• Customer Support: Address client inquiries professionally, providing updates on order status and resolving any issues.
• Reporting & Analysis: Assist in preparing reports related to order volumes, inventory levels, and operational efficiency.
• General Administrative Support: Handle documentation, filing, and office coordination to support overall business functions.
Qualifications as a Data Entry/Admin Assistant:
• Bachelor’s degree of any 4-year course
• 3-5 years of experience in data entry and administrative roles, ideally within logistics, wholesale, or food supply industries.
• Proficiency in Microsoft Office Suite (Excel, Word) and familiarity with order management or inventory tracking systems.
• Strong accuracy and data entry skills, ensuring error-free documentation.
• Ability to prioritize tasks effectively in a fast-paced environment.
• Strong written and verbal communication skills, with a proactive approach to resolving issues.
• Capable of working both independently and collaboratively with cross-functional teams.
