ClickUp is looking for a highly organized and proactive Operations Coordinator to support some of our executive leaders in the PLGTM organization. This individual has a strong understanding of how to effectively manage multiple calendars, coordinate administrative tasks, and ensure smooth operations for the leaders they support. This role requires exceptional attention to detail, strong communication skills, and the ability to multitask in a fast-paced environment.

The Role:

  • Manage complex calendars for internal and external meetings, ensuring efficient scheduling.
  • Provide administrative and operational support for leaders.
  • Plan team events, meetings, offsites, and other special functions.
  • Arrange travel, accommodations, and detailed itineraries, setting and managing expectations to maximize productivity.
  • Draft and manage correspondence and communications on behalf of leaders, as appropriate.
  • Act as a liaison between internal and external stakeholders, ensuring professionalism and collaboration at all times.
  • Partner with internal teams on various initiatives and events to drive operational success.
  • Adapt to changing responsibilities and demonstrate flexibility in supporting evolving business needs.

Qualifications:

  • 3+ years of experience in administrative, operations, or executive support roles.
  • Strong organizational and time management skills with the ability to prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Google Apps, particularly Google Calendar, and Google Docs, Google Sheets (bonus if proficient in ClickUp)
  • Experience in event planning and travel coordination.
  • Ability to maintain discretion and handle confidential information.
  • A proactive problem-solver with a high degree of attention to detail.
  • Experience working in startup environments.
Preferred Working Hours: This role operates in a fast-paced environment, requiring flexibility and responsiveness. While we welcome candidates from various time zones, preference will be given to those who can align their working hours with Pacific Standard Time (PST) to support our leadership team effectively.
