Role Name: Virtual Operations Coordinator

Schedule:

  • 40 hours/week, Monday to Friday 8am to 4pm EST

Job Description

Take on a pivotal role as the central coordinator for this expanding service company, managing critical communications and operations for multiple service teams. You’ll be the essential link between field teams, property managers, and clients, ensuring smooth daily operations while maintaining the highest levels of service and discretion. Responsibilities
  • Serve as the primary point of contact for client communications and service coordination
  • Process and manage incoming work orders from multiple property management platforms
  • Create and optimize daily service routes for 15+ team members across multiple service lines
  • Schedule and confirm appointments for both residential and commercial clients
  • Manage real-time communications regarding property access and scheduling changes
  • Coordinate with field teams to ensure efficient service delivery and problem resolution
  • Maintain detailed client databases and update contact information
  • Handle confidential client information including access codes and property details
  • Support invoicing and basic administrative tasks
  • Provide real-time operational support to field teams
  • Assist in developing and implementing new operational procedures as the business grows
Requirements
  • Excellent English communication skills (written and verbal)
  • Proven experience with virtual communication tools and messaging platforms
  • Strong organizational skills and attention to detail
  • Demonstrated ability to maintain strict confidentiality
  • Professional phone manner and superior client service orientation
  • Experience with basic database and spreadsheet management
  • Self-motivated with ability to work independently after training
  • Quick learner with strong problem-solving abilities
  • Reliable high-speed internet connection and quiet home office setup
  • Availability during US Eastern Time business hours
  • Minimum 2-3 week availability for comprehensive training (2-3 hours daily)
  • Comfort with handling multiple communication channels (phone, text, messaging platforms)
