Project Coordinator – 1 Year Fixed Term Contract

The role
This role involves working as a member of our team to provide coordination and administration support primarily around CMI, bids and tenders and major programmes. In this role you will support our ambitious plans for growth and support in ensuring a high quality of service is delivered to our diverse portfolio of clients. You will provide administration support to the Leadership team work collaboratively with other Project Coordinators, providing cover when needed within the organisation.
Key responsibilities
1. Accredited CMI programmes
You will be responsible for supporting our learner experience through CMI courses, including the management of bookings, setting up learners and events, sending joining instructions and post-event emails and collating feedback.
2. Bids and Tenders
You will be responsible for the searching of public sector tenders, through various tender portals, and using some clear criteria to screen tenders that might be of interest for Inclusive Employers.
3. Major Programmes
You will be responsible for the planning, scheduling and coordination of major programmes. This includes keeping project plans up to date, keeping contributors on track with key milestones, maintaining accurate records and communicating progress with stakeholders.
4. Other duties
You will be part of a community of Project Coordinators, providing cover for their duties when required. You may also be asked to support members of the Leadership Team tasks such as developing reports, conducting analysis, drafting copy or creating templates.
Requirements
Person specification
You must be able to demonstrate that you have most of the following:
Points 1 through to 6 are the minimum criteria for this role. ( in bold )
1. Systems competencies – able to adopt new systems quickly and competent in using different systems.
2. Project Administration – previous experience in project administration, project management or programme support.
3. Excellent interpersonal and relationship building skills – able to develop and maintain relationships with clients, colleagues and others. Able to build authentic and trusting relationships with a variety of stakeholders at different levels of seniority and be able to adapt their approach to the audience.
4. Organisational and prioritising skills – able to manage multiple-tasks, priorities and competing deadlines with experience of using reliable approaches to keep track of, schedule and ensure completion of tasks.
5. Independent and diligent - Self-driven, results-oriented with a positive outlook, and a clear focus on high quality. Comfortable with change and variety and working at pace. Responsive, resourceful, use initiative and able to work independently. Have an eye for detail.
6. Strong communication and influencing skills – have excellent verbal and written communication skills including a high level of grammatical accuracy and the ability to engage with a range of audiences. Able to be diplomatic and use influencing skills. For example, being able to respond to challenging client queries or step in to resolve a problem. Empathic communicator, able to see things from the other person's point of view.
7. Data skills – comfort with developing systems to capture key data elements and summarise data into simple, clear and concise tables or reports to help the business understand trends and inform decisions.
8. An inclusive approach and value set – we share a common belief in fairness and inclusion. A team player and will be supportive of other team members. Able to get on with others and gain pleasure from providing service to others.
9. Systems - Familiarity with NetSuite and HubSpot would be an advantage. Advanced Excel skills, e.g. VLookup, Pivots, SUMIF. Always looks for ways to improve current processes and develop use of systems to help reach goals.
