About the Role:
The Associate Director, Program Management is a strategic position, overseeing a business unit of one or more brands with a team of Project Managers. You will easily switch from daily management of projects, to high-level oversight of your team's brands and cross-functional teams, seeing both the details and the big picture. You are knowledgeable, flexible, and collaborative.
This is a remote role reporting into the Director of Operations.
You Will:
- Troubleshoot and provide solutions for expedited timelines, limited project budgets, and manage resource requirements
- Contribute to discussions around agency workflow improvements, understands what works and what hasn’t (and why) on previous brands/projects
- Lead retrospectives with cross-functional partners, mediating along the way to drive towards action items and documentation
- Manage key high-level complexity projects, requiring cross-agency and vendor support (ex: Broadcast video production, App development, Launch Planning)
- Partner with cross-functional leadership across internal and client meetings to provide escalation as PM point-of-contact
- Onboard clients to agency process and speak to risk identification and mitigation plans
- Provide direction to team on task and project priority, delegating within PM team as necessary, responsible for PM project allocation
- Oversee legal/regulatory submissions, reviewing process and recommending optimizations as needed to ensure quality and consistency of submissions
- Support agency culture and directives, collaborating with agency leadership to improve process and workflows
- Lead development of annual scopes of work and change orders, partnering with cross-functional teams to align on key assumptions, feasibility and resource needs
- Responsible for overall brand finances, providing oversight of project estimates, forecasting, burn tracking and reporting, client reconciliations, and reviewing all financial documentation generated by PM team ahead of client reviews
- Monitor team utilization and assist with rebalancing workloads to ensure full utilization and billability of team while avoiding burnout
- Own agency and vendor client relationships
- Provide onboarding and training to new team members, overseeing team development of materials that contribute to department learning and growth
You Will Bring:
- 6+ years in pharmaceutical marketing or communications agency experience is required
- Bachelor's degree in life sciences, marketing, or communications
- Can present marketing and strategic plans to main client decision makers
- Demonstrated leadership in a collaborative environment
