Job description

Job Summary: The IT Subcontractor / Procurement Agent will be responsible for managing the procurement of IT-related services to support the organization’s objectives and services, including subcontractor management. This role will focus on ensuring timely acquisition of IT resources, maintaining vendor relationships, evaluating supplier performance, and negotiating commercials. The ideal candidate should have a good understanding of IT procurement processes, experience in subcontractor management, and strong communication skills.

Key Responsibilities:

  1. Procurement Management:
  • Identify, evaluate, and select IT vendors, suppliers, and subcontractors in the Pre- and Post-sales process.
  • Prepare and issue Request for Proposals (RFPs), Requests for Quotes (RFQs), and other procurement documents for IT hardware, software, and services.
  • Analyse supplier proposals and negotiate pricing, terms, and conditions to secure the best deals for the organization.
  • Ensure timely delivery of IT products and services while adhering to budgetary constraints.
  • Maintain an up-to-date list of preferred IT vendors and subcontractors, including evaluating their performance regularly.
  • Understanding of basic IT services terminology, concepts and services to permit the preparation of the RFP documents for subcontractors and ensuring alignment of quoted commercials from the vendor to the organization.
  • Subcontractor Coordination:
    • Manage relationships with subcontractors and external service providers to ensure quality and timely service delivery.
    • Monitor subcontractor performance against agreed timelines, budgets, and service level agreements (SLAs).
    • Facilitate the smooth integration of subcontractors into ongoing IT projects, ensuring they have the necessary resources and information.
  • Vendor and Contract Management:
    • Negotiate and administer contracts with IT vendors, suppliers, and subcontractors.
    • Manage contract lifecycle, from initiation to execution and renewal.
    • Ensure compliance with contractual terms and conditions, managing any issues that arise during the contract period.
    • Work closely with legal and finance teams to review and finalize contracts.
  • Budget Management:
    • Monitor subcontractor procurement budgets and ensure that purchases are made within budgetary guidelines.
    • Track spending on IT subcontractor services and ensure cost-effective solutions are being implemented.
    • Assist in financial forecasting and planning for IT-related purchases.
  • Reporting and Documentation:
    • Maintain accurate and detailed procurement records, reports, and documentation.
    • Provide regular updates to management regarding procurement status, project progress, and budget adherence.
    • Support the preparation of procurement and project-related reports for senior management.
  • Cross-Functional Collaboration:
    • Work closely with IT, finance, legal, and project management teams to understand requirements and deliver procurement solutions that meet project goals.
    • Assist in the resolution of any procurement-related issues that may arise during project execution.

    Requirements

    Skills & Qualifications:

    • Bachelor's degree in Business, Information Technology, Supply Chain Management, or related field.
    • 3-5 years of experience in IT procurement, subcontractor management, or related fields.
    • Strong negotiation skills and the ability to manage vendor and subcontractor relationships effectively.
    • Excellent understanding of IT hardware, software, and service procurement.
    • Familiarity with procurement software and tools (e.g., SAP, Oracle, Ariba).
    • Strong organizational and time-management skills.
    • Excellent written and verbal communication skills.
    • Knowledge of contract law and procurement regulations.
    • Ability to work in a team environment and handle multiple tasks simultaneously.
    • Must able to work in EMEA timezone

    Preferred:

    • Certifications in Procurement or Supply Chain Management (e.g., CPSM, CIPS).
    • Previous experience in IT project management or IT asset management.
