Position Overview:
We are seeking a sharp, proactive Executive Assistant to directly support our business owner and leadership team. This role is critical to keeping the CEO organized, executing projects from start to finish with minimal direction, and driving company priorities forward. You must be highly organized, independent, and able to operate in a fast-paced environment without ambiguity.
This is not a traditional administrative assistant role — we are looking for someone who can think strategically, take 20% direction and bring 100% execution, and ensure projects are fully completed without needing constant check-ins.
Key Responsibilities:
Keep the CEO organized and focused by managing their calendar, priorities, and deliverables.
Serve as the Integrator to help bridge the gap between the CEO and leadership team.
Manage and optimize the owner's calendar, ensuring meetings are scheduled effectively and agendas are prepared 15 minutes before meetings.
Attend internal meetings, take detailed notes, create and track action items, and follow up on deliverables.
Process and manage the CEO's email inbox at minimum twice daily, responding within 5–10 minutes to priority senders.
Drive projects from idea to full completion with minimal supervision — able to take a concept with 20% input and build the structure to execute.
Draft clear, concise communication and reports without unnecessary formality (no "kindly" or over-polite language).
Prepare End-of-Day (EOD) reports summarizing tasks completed, ongoing projects, and urgent items.
Maintain company files and project management systems (primarily SharePoint, Microsoft Teams, and future project management platform like Trello, Monday.com, or Asana).
Support internal project management, including database upkeep, deadline tracking, and team accountability.
Manage internal deadlines to ensure company goals are progressing as planned.
Assist with marketing coordination and Chamber of Commerce communications, as needed.
Proactively identify gaps or inefficiencies and offer solutions.
Maintain confidentiality and professionalism at all times.
3+ years of executive assistant, project management, or integrator-level support experience.
Strong organizational skills with a natural sense of urgency and ability to prioritize and manage multiple projects independently.
Highly proficient in Microsoft 365 (Outlook, Teams, SharePoint, Planner) and quick to learn new software.
Strong data analytics and database management skills.
Fluent in English with excellent writing, proofreading, and direct communication abilities.
Self-starter who thrives with minimal direction and is skilled at building and executing plans from scratch.
Clear thinker who can operate calmly under pressure and drive decisions and results.
Familiarity with EOS (Entrepreneurial Operating System) preferred
