What are we looking for?
We are seeking a highly motivated and detail-oriented Sales Coordinator to join our dynamic sales team. In this role, you will play a crucial part in supporting the sales process, ensuring smooth communication between the sales, marketing, and customer success teams, and helping to drive operational efficiency. The ideal candidate will be a proactive problem-solver with excellent organizational skills and the ability to thrive in a fast-paced, SaaS environment.
Working time: 8:30 am and 5:00 pm Eastern Standard Time
Location: Colombia (Remote)
What are you expected to do?
- Sales Support: Assist the sales team with daily administrative tasks such as preparing sales proposals, presentations, contracts, and customer communications.
- CRM Management: Maintain accurate and up-to-date records in the CRM (Salesforce or other tools), ensuring the tracking of all leads, opportunities, and customer interactions.
- Sales Reporting: Prepare regular reports on sales performance, pipeline, and lead status to provide insights for decision-making.
- Lead Coordination: Manage inbound and outbound lead flow, scheduling meetings, and ensuring timely follow-ups.
- Customer Communication: Coordinate communication with prospects and clients, ensuring they have a positive experience throughout the sales process.
- Cross-functional Collaboration: Work closely with project managers to ensure a seamless transition from sales to implementation.
- Event and Webinar Coordination: Assist in organizing and coordinating webinars, product demos, conferences, and other events to support the sales process, ensuring smooth logistics and customer engagement.
- Customer Invoicing: Collaborate with the finance team to ensure accurate customer invoicing based on contracts and agreements, addressing customer discrepancies or questions.
KEY PERFORMANCE INDICFATORS
- Sales Pipeline Accuracy: Maintain an up-to-date and accurate sales pipeline in the CRM, ensuring proper categorization and timely follow-up on leads and opportunities.
- Lead Response Time: Ensure a quick turnaround time in responding to inbound leads and requests for demos, proposals, or product information.
- Event Coordination Success: Track the success of organized events by monitoring attendance rates, customer engagement, and follow-up activities, aiming for increased participation in future events.
- Customer Invoicing Accuracy: Ensure 100% accuracy in customer invoicing, with minimal discrepancies or delays, and track any issues to resolution with the finance team.
- Invoice Processing Time: Aim to process customer invoices promptly, within the agreed timeline, and ensure any queries related to invoicing are addressed within 24-48 hours.
- Sales Team Support: Measure effectiveness in providing support to the sales team, including timely completion of administrative tasks, document preparation, and CRM management, contributing to the overall efficiency of the sales process.
- Cross-functional Collaboration: Successfully facilitate communication and coordination across teams (sales, marketing, and finance), with feedback from team members on the efficiency of collaboration.
- Customer Satisfaction: Ensure positive feedback from customers related to communication and invoicing processes, aiming for high customer satisfaction ratings in post-interaction surveys.
You’ll be a great fit if:
- Experience: 2+ years of experience in a sales coordinator, sales support, or administrative role, preferably in a SaaS or tech environment.
- Skills: Strong proficiency in CRM software (Salesforce, HubSpot, etc.) and Microsoft Office Suite (Excel, Word, PowerPoint).
- Communication: Excellent written and verbal communication skills with the ability to liaise effectively across teams and with clients.
- Organizational Skills: Strong attention to detail and ability to handle multiple tasks simultaneously in a fast-paced environment.
- Problem-Solving: Ability to identify challenges and propose practical solutions proactively.
- Team Player: Collaborative attitude and a willingness to contribute to team success.
- Preferred: Knowledge of the BI industry or SaaS business model is a plus.
- Finance Coordination: Familiarity with basic invoicing procedures and experience coordinating with finance teams to ensure smooth invoicing and payment processes.

What happens after you submit your application?
The whole process takes around 4 weeks:
- There will be 3-4 interviews and a possible assessment from our client partner. You will undergo an initial interview, a culture interview, and 1-2 interviews with our cool client. This will run for about 1-2 weeks but we will let you know if we need to ramp it up. Be yourself and have fun.
- We will constantly communicate with you as to the development of your application. You can also directly communicate with us to ask us about the status of your application.
- If all goes well, we complete the reference check and provide other necessary requirements so we can offer you the job right away
