Job Brief

We are looking for a proactive and highly organized Special Assistant to provide administrative, technical, and operational support to our client remotely. The ideal candidate will be responsible for managing daily tasks, streamlining processes, and ensuring smooth communication and coordination. This role requires strong time management, attention to detail, and the ability to handle multiple responsibilities efficiently with minimal supervision.

What Will You Be Doing
  • Manage calendars, schedule meetings, and organize appointments.
  • Handle email management, including responding to messages, filtering spam, and organizing inboxes.
  • Conduct online research and prepare reports, presentations, or data as needed.
  • Manage and update databases, records, and digital filing systems.
  • Support social media management by creating content, scheduling posts, and engaging with followers.
  • Perform general administrative duties such as document preparation, formatting, and proofreading.
  • Coordinate travel arrangements including flights, accommodations, and itineraries.
  • Assist in customer service tasks, including responding to inquiries and resolving issues professionally.
  • Monitor project timelines, send reminders, and follow up with team members or clients as required.
  • Manage online tools and platforms (e.g., Google Workspace, Zoom, Trello, Canva, CRM systems, etc.).
  • Handle invoicing, expense tracking, and other basic bookkeeping tasks.
  • Attend virtual meetings and take detailed notes or minutes when necessary.
The Ideal Candidate
  • Proven experience of at least five years as a Virtual Assistant, Executive Assistant, or relevant administrative support role.
  • Strong written and verbal communication skills.
  • Excellent organizational and time management abilities.
  • High level of discretion, professionalism, and confidentiality.
  • Proficiency in Microsoft Office Suite and Google Workspace (Docs, Sheets, Slides, Gmail, etc.).
  • Familiarity with remote communication tools such as Zoom, Slack, Trello, Asana, or similar platforms.
  • Ability to multitask, prioritize effectively, and work independently.
  • Tech-savvy and quick to learn new software and tools.
  • High-speed internet connection and reliable computer setup.
