Job description

Position Summary:
We need a self-starting professional with basic knowledge of US tax for businesses to handle client bookkeeping, tax preparation support, and administrative tasks. The ideal candidate excels in a hybrid role, ensuring financial accuracy while contributing as a virtual assistant during lighter bookkeeping periods. You’ll maintain client financials, respond to emails, organize files, and use tools like Power Automate to enhance efficiency, with added value through skills like rolling retained earnings, recording journal entries, and creating operational dashboards.

Responsibilities:

Bookkeeping Duties:

  • Record and categorize client financial transactions in accounting software (e.g., QuickBooks, Xero).
  • Reconcile bank statements and generate financial reports (P&L, balance sheets, cash flow).
  • Organize client records and assist with US business tax preparation, ensuring compliance and deadlines are met.
  • Manage invoicing, accounts receivable/payable, payroll, and expense tracking for clients.
  • Roll retained earnings, record journal entries, and maintain accurate ledgers.
  • Create operational dashboards from financial data to provide actionable client insights.

Virtual Assistant Duties:

  • Respond promptly and professionally to client emails in a shared inbox.
  • Move files from tax software save inboxes to client folders, renaming them consistently (e.g., “ClientName_Invoice_YYYYMMDD”).
  • Use Power Automate to automate document transfers (e.g., OneDrive to shared drives) and other workflows- Monitor client cash flow and support budgeting efforts with actionable insights.

High-Value Contributions:

  • Develop automations to streamline workflows (e.g., invoice reminders, deadline alerts).
  • Leverage Excel (formulas, pivot tables) to analyze financial data and build custom reports or dashboards.
  • Propose process improvements to enhance bookkeeping and administrative efficiency.
  • Prepare client documentation for audits and ensure records are audit-ready.

Qualifications:

  • Basic knowledge of US tax regulations for businesses and experience supporting tax preparation.
  • Proficiency in accounting software (QuickBooks, Xero, or similar) and Microsoft Excel (formulas, pivot tables).
  • Experience with cloud storage (OneDrive, Canopy Tax) and automation tools like Power Automate.
  • Strong organizational skills with precision in financial records, journal entries, and file management.
  • Excellent written communication for client emails and professional correspondence. Brasília- Self-starter with the ability to prioritize tasks and work independently.
  • Adaptability to juggle financial reporting and administrative support.
  • Commitment to confidentiality with sensitive client data.

Preferred Qualifications:

  • 2+ years of bookkeeping experience, ideally in a CPA firm or small business setting.
  • Experience rolling retained earnings, recording journal entries, and building operational dashboards.
  • Familiarity with payroll processing and financial forecasting.
  • Prior experience as a virtual assistant or in a hybrid role.
