Position Available: Senior Virtual Assistant to a Start-Up CEO
Location: Remote; Sri Lanka based
Hours: Full-time; 5:00am - 1:00pm, IST Colombo time (+/- 1 hour as needed)

Are you an organised and detail-oriented Virtual Assistant looking to join a fast-growing start-up in the Recruiting, HR and talent management space? Our client is seeking a Senior Virtual Assistant, or highly skilled Office Administrator, to join and play a key role in building processes,  managing administrative tasks, editing documentation, and providing client support

Your Main Responsibilities & Experience:

Candidate Management:

  • You will assist with candidate onboarding, including tracking placements, VEVO checks, reference checks, and managing reminders for first days, probation, and contract expirations. 

Editing & CRM / Data base Management:

  • This role includes editing resumes to meet industry standards using Microsoft Office, with proficiency in Excel required. You’ll help maintain accurate records in the CRM and support daily and weekly tasks focused on growing the database and improving LinkedIn connections. You will also assist with talent pool management and be responsible for managing contracts between candidates and clients.

Email / Calendar Management & Reporting:

  • You’ll be confident in drafting professional emails (using Google Suit and other platforms) and handling client communication with a high level of professionalism. This role also includes calendar management to ensure smooth day-to-day operations and client engagement for the CEO. In addition, you are also required to track weekly trends, prepare weekly client and candidate lead reports and perform basic Bookkeeping tasks.

Marketing Admin & Event Organization:

  • You’ll be responsible for assisting with basic marketing tasks and supporting event coordination. You’ll provide overall administrative support by managing online requests, managing the office phone line, handling company social media ensuring that tasks are completed efficiently and effectively to help meet team goals.

What your profile will look like:

  • Must have - a minimum of 4+ years of experience: Demonstrated experience in administration or client service roles, including editing resumes to professional standards. Experience working with an Australian company is highly desirable
  • Must have- basic marketing admin skills & event organization: Must have basic skills in marketing administration and event coordination, along with the ability to edit Word and PowerPoint documents. Strong proficiency in Microsoft Office packages is essential, and experience with Linkedin & Canva is also required.
  • Must have - strong communication skills: Fluent written and oral English is a must. You’ll communicate directly with clients, support coordinators, and service providers.
  • Must have - accountability & attention to detail: Ability to multitask, prioritize, and work with minimal supervision, ensuring accurate documentation and processes.
  • Preferred- recruitment Industry Experience:- Previous experience in recruiting or talent acquisition. Familiarity with Vincere.io or similar recruitment platforms is a bonus
