This is a remote position.

Schedule:

Key Duties & Responsibilities

CRM Management & Data Entry (Mission-Critical)

  • Accurately input sales details (customer info, product specs, installation requirements) into our Zoho CRM system.
  • Ensure error-free, up-to-date records to prevent delays for the installation team.

Sales Processing & Documentation

  • Attach contracts, compliance docs, and notes to CRM records post-sale.
  • Verify checklists (finance approval, site specs, signed contracts) with all new customers within 48 hours.

Solar System Design Support

  • Generate basic designs in Open Solar software using template product codes
  • Cross-check designs against customer needs, budget, and technical requirements.

Sales Tracking & Financial Reporting

  • Log sales into master spreadsheets (categorizing by type: residential/commercial, lead source etc.).
  • Build and Improve upon existing Notion CRM to better represent data to find which lead sources earn the greatest ROI & aid in creating and organising KPI metrics for both individual sale reps and the collective sales team.

Email & Inbox Management

  • Respond to routine inquiries using pre-approved templates.
  • Organize and prioritize the sales inbox, flagging urgent issues.

Sales Performance Analytics & Reporting

  • Analise sales team KPIs using AI tools and custom Excel formulas to correlate lead quality/quantity with rep performance.
  • Identify top-performing lead sources and recommend resource reallocation to maximize conversions.

Notion CRM Development & Optimization

  • Continuously improve Notion CRM dashboards to visualize individual/team sales metrics (e.g., charts, leader boards).
  • Integrate Notion with existing tools (e.g., spreadsheets, AI trackers) for real-time performance insights.

 

What Success Looks Like:

KPI Optimization: 

  • Use AI tracking tools and custom Excel formulas to analyse sales team performance against KPIs (e.g., conversion rates, lead quality).
  • Cross-reference lead sources with sales rep outcomes to identify high-performing channels and reallocate resources strategically.
  • Create dynamic dashboards to foster healthy competition (e.g., ranking reps by lead-to-close efficiency).

Data-Driven Insights:

  • Propose process improvements (e.g., automating lead scoring) to reduce manual work and boost sales productivity.
  • Deliver monthly reports showing how lead source quality impacts revenue, enabling smarter budget decisions.

Notion CRM Development:

  • Continuously refine our Notion CRM to visualize individual/team sales performance through intuitive charts and dashboards.
  • Design workflows that integrate Notion with existing tools (e.g., AI trackers, Excel) for real-time visibility into lead pipelines.
  • Collaborate with sales reps to ensure the CRM reflects their needs, identifying trends (e.g., top-performing lead types).


Requirements

CRM Proficiency

  • 2+ years of hands-on experience with CRM systems (Bonus if Zoho / Notion)
  • Proven ability to manage high-volume data entry with 100% accuracy.
Administrative/Data Entry Background
  • 2+ years in an administrative, sales support, or data processing role.
  • Experience with spreadsheet management (Excel/Google Sheets), including formulas (e.g., SUMIF, VLOOKUP) and pivot tables.
  • Comfort with basic IT troubleshooting (e.g., file organisation, Google drive)

Organizational & Communication Skills

  • Extreme attention to detail – errors in CRM data delay installations.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Clear written English for internal updates & data entry

 Preferred Systems & Skills:

  • Advanced Notion Expertise: Ability to build custom KPIs, dashboards, and CRM workflows in Notion (e.g., relational databases, automations, interactive sales trackers).
  • AI Performance Tools: Experience with AI agents or sales coaching tools (e.g., Gong, Chorus, Revenue.io) that analyse call/conversation data to improve rep performance.

Software Proficiency:

  • Zoho CRM: Hands-on experience with Zoho for data entry, pipeline management, or reporting.
  • Power BI: Familiarity with creating visual dashboards to surface sales trends and bottlenecks.
