While we started with food tours and travel tips, our real impact comes from supporting people through the relocation journey. We've built a thriving community through our YouTube channel and other platforms, and now we’re looking for someone to help keep us organized, drive projects forward, and make sure nothing falls through the cracks.
Requirements
We’re looking for an Executive Assistant / Project Coordinator who’s proactive, tech-savvy, and thrives on helping things run like clockwork. You’ll be the operational glue between the CEO and the rest of the team, keeping projects moving, following up with others, and making sure the right things happen at the right time.
In this role, you will:
✨ Manage calendar, travel plans, and inbox.
📋 Maintain and update our Asana project board.
📹 Coordinate projects across YouTube and course creation.
🧩 Track tasks, follow up with the team, and keep everyone aligned.
🧠 Take things off the plate and make sure nothing slips through the cracks.
🧑🤝🧑 Act as a cross-functional coordinator supporting not just the CEO, but the broader team, by translating high-level strategic ideas into clear tasks, ensuring follow-ups happen, timelines are aligned, and key initiatives stay on track across departments. You won’t manage people directly, but you’ll be the glue that keeps communication flowing and projects moving forward without the CEO needing to
You’re someone who’s friendly but firm, organized, and loves making stuff happen. You take ownership, stay one step ahead, and enjoy keeping things on track without needing to be micromanaged. You’re thoughtful, clear in your communication, and genuinely want to make the person you’re supporting more effective and less overwhelmed.
Working Hours ⏰: This is a full-time role working European daytime hours , ideally from 8:00 am to 5.00 pm CET/ Madrid Time, dependant on the day.
You’ll thrive in this role if you have:
✅ Previous experience as a Virtual Executive Assistant or Project Coordinator
✅ Excellent written and verbal communication skills in English
✅ Strong attention to detail and task tracking
✅ Confident using Asana, Notion , Google Workspace, and Slack.
✅ Comfortable managing a founder’s inbox, calendar, and travel
✅ Experience working for a US / International based Business.
Bonus Points for:
🌟 Experience supporting content creators or online businesses
🌟 Interest in YouTube and/or online course production
🌟 Familiarity with basic marketing processes or project timelines
