We’re collecting applications for a Product Data & Inventory Specialist to join our team no later than mid-August 2025.

Objective

The primary objective of the Product Data & Inventory Specialist is to ensure the accuracy of product inventory information within our ERP (Netsuite), which feeds data to critical systems and processes. Your work maintaining accurate SKU and wincode information will enable our team to assess inventory levels accurately and will allow customers to view accurate product availability. You’ll take on the day-to-day product and inventory data to create the necessary bandwidth to support complex initiatives. 

Job Summary

This is a new position at Apex but the day-to-day responsibilities are already being handled by several cross-functional team members. We want someone to elevate this portion of our business by creating process efficiencies and automation with our existing systems. Your success in this role will be determined by the accuracy of data across platforms and how effectively you can automate and scale the manual, repetitive, and error-prone tasks in your position.

Our systems are maturing but still need individual attention to make sure the right data is in the right place. To succeed in this role, you’ll need to be able to dig into product data, identify errors proactively, and recommend solutions that have predictable outcomes. When we have new product launches, getting our product catalog ready for internal and external use is critical to our success.

You'll report to our Inventory & Demand Manager. This role will work remotely from your home anywhere in the contiguous USA, with a few trips a year to our Pleasanton, CA, headquarters.

Responsibilities
  • SKU and Catalog Management: Responsible for ensuring accurate and complete product data for all SKUs. Support the implementation of new systems including transitioning all SKUs to standardized wincodes in Netsuite. Manage the library of UPCs and other identifying numbers associated with our entire product catalog. Responsible for the accurate entry and upkeep of all data associated with product revisions. Help the team implement product data transitions. 
  • Inventory Management: Proactively audit inventory data on an ongoing basis. Add new products to Netsuite, ensuring that all possible fields are completed. Update back-end data to display accurate ETAs to customers. Assist in maintaining accurate inventory records of blemished, sample, and other open-box products that sit outside of the main inventory. Create and maintain the wholesale dealer-facing product catalog.
  • eCommerce Support: Support the entry and maintenance of SKUs into our eCommerce platforms (Magento and Sanity) so that customers have accurate product and inventory information. Ensure that all available product data in Netsuite is imported to our fulfillment tool (Shipstation) for accurate fulfillment. Maintain wholesale dealer product categories in Magento. Eventually, you’ll be responsible for adding and maintaining products within our vehicle configurators in Sanity.  Provide additional support to the eCommerce team.
  • Reporting:  Run daily reports to support day-to-day operations, including accuracy of website ETAs, wheel, hardware, accessory, and branded merchandise inventory. Generate reports on inventory quantities on hand, on water, and at the factory, quantities of our most popular wheels and fitments, consignment inventory, back orders, and production lead times will be required. You’ll be responsible for developing and running new reports as needed.
  • Other duties as assigned.

Requirements

  • A high school diploma or equivalent is required. An associate’s or greater degree in logistics, supply chain, or another relevant area is preferred.
  • 3+ years of work experience in product catalog or inventory management or other relevant work is preferred.
  • 3+ years of experience using ERP systems (ideally, with NetSuite).
  • 1+ years of experience using Project Management software is preferred (especially ClickUp).
  • 1+ years of experience using eCommerce tools is preferred (ideally, Magento and Sanity).
  • Read, write, speak and understand English.
  • Experience with Google Suite (Sheets, Docs, Gmail, Slides, etc) or a similar system.
  • Exceptional attention to detail, organizational skills, and a proactive approach.
  • Excellent verbal and written communication skills with the ability to concisely relay information to key stakeholders and build positive internal relationships.
  • Intermediate or greater knowledge in spreadsheet applications like Sheets/Numbers/Excel, which includes using formulas, identifying errors in formulas and general data processing.
  • Being a motorsports enthusiast will give you a very heavy advantage in this role since you will understand our customers within the motorsports community, but is not a requirement.

Working Environment and Physical Demands
  • While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard.
  • Specific vision abilities required by this job include close vision requirements due to computer work. Ability to sit at a computer terminal for an extended period. Light lifting may be required. 
  • Regular, predictable attendance is required.
  • You’ll have a high degree of control over your working environment, as you’ll be primarily working from your home-office.
  • Quarterly travel to headquarters in Pleasanton, CA or other domestic locations for team-building is required.
