Position Overview
Non-profit Art Museum is seeking a highly experienced, organized, detail-oriented Executive Assistant to support senior leadership and Board of Trustees in a fast-paced environment.
This role requires excellent communication skills, discretion, and the ability to manage multiple priorities with the utmost professionalism and efficiency.
Key Responsibilities
Provide high-level administrative support to the CEO, and Board of Trustees.
Serve as the primary point of contact, gatekeeper and facilitate clear and effective communication between CEO and internal/external parties.
Manage complex calendars, schedule meetings, and coordinate appointments.
Review and facilitate labor relations material on behalf of the CEO and the Museum.
Prepare materials for board and committee meetings including agendas and supporting documentation utilizing Google Workspace, Adobe Acrobat, and Microsoft PowerPoint.
Prepare, document, and maintain detailed minutes of staff, board and committee meetings.
Communicate on behalf of the CEO with the Board of Trustees, donors, staff, and others.
Attend virtual and in-person events and meetings with the CEO to take notes and monitor follow-up, which may occur outside of normal office hours.
Draft, proof-read, format correspondence and documents, organize and maintain files and records
Handle confidential information with integrity.
Requirements
Proven career experience as an Executive Assistant or similar high-level administrative support role.
Proficiency with Google Workspace, Microsoft Office Suite, including PowerPoint.
Strong written, grammatical and verbal communication skills.
Excellent organizational and time-management abilities.
Ability to work independently and confidently take initiative as needed.
Discretion and professionalism when dealing with sensitive information
Experience
10-15 years’ experience required supporting executive-level staff.
Detailed understanding of office management tools, practices and procedures.
