Capita Pensions Solutions are looking for an Executive Assistant to the Managing Director covering maternity leave July 2025 – Mid July 2026.
You will work directly for the Managing Director and will also work closely with the Head of Governance and Regulatory Reporting to provide fully effective service to the MD office, This will be achieved through providing proactive support, ensuring the MD is made aware of high priority activities and manging their diary to ensure that they make best use of their time to be highly effective. This post holder will need to have the confidence to exercise their initiative, make decisions and will also be required to take a proactive approach.
This role requires a strong, well-rounded and dynamic individual with proven EA skills, and who has worked in a similar high paced role, ideally in an FCA regulated business at a Managing Director Level and has a demonstrable ability to work with stakeholders at all levels.
If successful you will be required to complete BPSS and SC clearance level of vetting.

What you’ll be doing:
Inbox management including reading, monitoring, delegating emails and responding where appropriate.
Diary management for the MD and being able to quickly resolve ever changing travel plans within the UK, sometimes at the last minute ensuring appropriate and cost-effective travel options are utilised
Arranging, preparing for and, if required, minuting senior meetings.
Preparing Regulated documents and SMCR documentation
Working closely with the Head of Governance and Regulatory Reporting to assemble quarterly CPSL Board papers and monthly Leadership team papers.
Arranging all internal and external meetings and if external clients are attending the Paddington office, all access is granted.
Ensuring all CCNs and contracts are checked thoroughly and signed in the appropriate time-frame.
Liaising with other members of the Exec team and other Capita areas, clients or suppliers as may be necessary
Ability to work as part of a network of Executive Assistants offering support and help when required
Point of call for all queries relating to the MD and dealing with management of miscellaneous issues
