About The Role

The Employee Experience & Engagement Specialist plays a key role in creating and maintaining a positive and inclusive workplace culture. This role drives employee engagement initiatives, enhances team connections, and ensures smooth and engaging onboarding and offboarding processes. By supporting employees' overall experience and fostering a sense of belonging, this position helps cultivate an environment where employees feel valued, supported, and aligned with the organization's mission and values. The specialist is also responsible for creating memorable moments that contribute to employee satisfaction and retention, ensuring the company remains a great place to work.

Responsibilities

  • Employee Experience
    • Onboarding
      • Ensure that all pre-employment documentation for new hires is complete and compliant. Collaborate with the People Operations & Compliance Specialist to validate that these documents meet legal and regulatory requirements in accordance with company policies and labor laws.
      • Prepare and issue employment contracts to new hires and for those transitioning to ph entity, ensuring all terms and conditions are clearly communicated and understood.
      • Create 201 files during onboarding, ensuring all basic information and engagement data (e.g., contact details, position, new hired date and salary, etc) are accurately entered and completed in HubSpot and TMP.
      • Assign unique employee codes to all newly hired staff for proper identification within the Hubspot and TMP
      • Invite new hires internal employees to sign up on TMP (HRIS) for smooth onboarding and HR data management.
      • Facilitate a comprehensive orientation for new hires, covering company culture, policies, tools, and key contacts to ensure they are set up for success.
      • Oversee the distribution of welcome kits to new hires, ensuring timely delivery and proper coordination.
    • Offboarding (Experience-focused)
      • Manage exit communication, keeping teams informed while maintaining professionalism and positive relationships with departing employees.
      • Collect and analyze exit survey and exit interview feedback to identify areas for improvement in the employee experience.
    • Employee Support & Partnering
      • Proactively engage with employees to identify concerns and provide support, fostering a positive work environment.
      • Provide advisory support to employees and managers on HR matters, including performance management, disciplinary actions, conflict resolution, and legal compliance, ensuring fair and consistent application of policies.
      • Respond to the inquiries through email or “ASK HR” tool, providing guidance on HR policies, benefits, and requests for documents or certifications and employment verification.
      • Ensure employees have access to necessary HR documents, benefits information, and process guidance.
      • Assist the bi-annual company-wide survey to gather feedback on people support programs, company culture, and overall employee satisfaction.
    • HR Operations Support (Experience-focused)
      • Evaluate and improve HR processes to enhance the employee experience from a service perspective, with a focus on continuous feedback and improvements.
      • Optimize HR systems to improve workflows and enhance satisfaction, focusing on user-friendliness and providing feedback loops for better processes.
      • Collaborate with the Senior HR Operations & Development Lead to ensure HR initiatives are aligned with business and culture goals but maintaining a clear focus on improving employee interaction with HR systems and processes.
  • Employee Engagement
    • Employee Engagement & Culture
      • Lead and implement engagement initiatives such as the Culture Club, Wellness Program, Recognition Programs, and Company Events.
      • Develop and launch new initiatives based on employee feedback to enhance workplace culture and align with company values.
      • Conduct surveys and feedback sessions to assess engagement levels and identify areas for improvement.
      • Coordinate timely birthday and regularization greetings with vouchers, ensuring personal acknowledgment of employee milestones.
      • Organize care packages for employees facing personal challenges (e.g., illness, natural disasters).
    • Employee Communication & Recognition
      • Develop and share internal communications (memos, organizational updates, promotional content) to keep employees informed and engaged.
      • Manage recognition initiatives to celebrate employee achievements and contributions, reinforcing a culture of appreciation and transparency.
      • Maintain and update Trainual, ensuring the Org Chart and HR Policies section are accurate and up to date.
      • Oversee the preparation of the Monthly All Hands meeting, ensuring it is finalized at least one week in advance.
    • Company-Wide Events & Getaways
      • Plan and execute company-wide getaways (Year End Party, Get-Together etc), ensuring engaging and well-organized events that strengthen team connections.
      • Lead a sub-committee to prepare for the event, both from a logistical and cultural perspective, liaising with C-Suite to ensure alignment.
      • Throughout the event, lead and manage the schedule, handling any problems and ensuring the goals of the getaway are met.
      • Oversee logistics, budgeting, and communication to ensure smooth execution.
Results

  • Cultural & Wellness Engagement: Achieve 70% participation in cultural and wellness events, ensuring timely execution and promotion.
  • Stronger Workplace Culture: Implement at least 4 new engagement programs annually, leading to higher participation rates in wellness, recognition, and team events.
  • Monthly All Hands Attendance: Ensure at least 90% attendance at Monthly All Hands meetings, ensuring engagement and alignment across the team.
  • Company-Wide Events & Getaways: Ensure at least 90% employee attendance, adherence to the allocated budget, and completion of all logistical arrangements at least 2 weeks prior to the event, ensuring successful execution and alignment with company values.
  • Onboarding & Offboarding Process Success: Ensure 100% of onboarding and offboarding processes are completed on time, with a focus on creating a positive and seamless experience for new hires and departing employees. All necessary documentation, including contracts and 201 files, should be processed, filed, and compliant within 48 hours of approval to ensure smooth transitions.
  • Employee Issue Resolution & ASK HR Resolution: Focus on resolving employee relations issues related to engagement, experience, and culture. Aim to resolve 90% of employee inquiries and issues within 5 business days and 95% of ASK HR tickets related to employee experience within 48 hours.
  • Employee Support Satisfaction: Maintain a 90% satisfaction rate on employee support services, focusing on engagement and experience-related queries.

Competencies And Qualifications

  • Year of Experience: 3-5 years’ experience in a similar role
  • HR Expertise: In-depth understanding of HR best practices, labor laws, compliance, and the employee lifecycle (onboarding, offboarding, contracts, benefits administration).
  • Employee Engagement & Culture Building: Proven experience in designing, executing engagement programs, wellness initiatives, and culture-enhancing activities.
  • Organizational & Planning Skills: Ability to manage schedules, coordinate events, and execute HR programs efficiently and on time.
  • Communication Skills: Strong writing, verbal, and presentation skills for creating engaging content (e.g., newsletters, announcements) and fostering transparent communication.
  • Data & Analytical Skills: Ability to interpret survey results and employee feedback, providing actionable insights to drive improvements.
  • Creativity & Innovation: Skilled in developing culture-building initiatives and engaging employees from diverse backgrounds.
  • Interpersonal & Collaboration Skills: Ability to build relationships, partner with leadership, and foster an inclusive, supportive work environment.
  • Process Improvement: Ability to identify inefficiencies in HR processes and develop solutions to improve productivity and effectiveness. Leverage best practices and technology to streamline operations.
