As the Receptionist, you will be the first point of contact for clients, technicians, and new inquiries—playing a critical role in managing communications and ensuring accurate data processing. You’ll handle a high volume of inbound phone calls, manage quote requests via email, and support smooth coordination between field teams and office staff. Answer all incoming calls professionally and efficiently.
For existing clients:
Ask for and record the job number referenced by the caller.
Locate the relevant job in the system and forward the call to the assigned staff member.
For field technicians:
Determine whether they need support from the reports or booking team.
Route calls accordingly.
For new inquiries:
Follow a provided script to evaluate client suitability.
If suitable, collect required client details and forward to the booking team.
If unsuitable, use a script to explain and redirect them to a more appropriate trade.
Review incoming quote requests via email.
Cross-check details automatically extracted by the system with the original work order.
Correct any discrepancies in the data or approve if accurate.
Convert finalized forms into active jobs within the system.
