Job description

Survam Patel is the CEO of Allia Health Group, a healthcare innovation platform scaling mission-driven companies focused on wellness, longevity, and patient care. His portfolio includes Southend Pharmacy (compounding pharmacy), Brello (telehealth), and Woven (supplements). Known for his strategic vision and rapid growth mindset, Survam leads a fast-paced and purpose-driven organization with over 200 team members and growing.

We're hiring two Virtual Executive Assistants to support the CEO and help build a strong foundation for executive operations. The ideal candidates are proactive, detail-oriented, and thrive in a fast-paced, high-growth environment. In this role, you'll help keep our high-performing CEO focused on vision and strategy while contributing to internal systems, documentation, and training processes that support future growth.

You'll be responsible for protecting the CEO's time, driving clarity, and keeping operations running smoothly. While you'll start by working directly with the CEO, those who take initiative and thrive in dynamic environments will find a clear path to grow into a leadership role - expanding support to other executives, owning EA systems company-wide, mentoring future assistants, and partnering with the Chief of Staff to strengthen executive operations.

Some of your responsibilities will include:

  • Calendar management, including proactive scheduling and agenda confirmation
  • Performing proactive inbox management throughout the day, triaging messages, summarizing, and pre-drafting responses
  • Translating verbal and video instructions into structured tasks in ClickUp
  • Managing executive summary updates across platforms and supporting async alignment through team prep, updates, and structured follow-through
  • Handling meeting prep, follow-ups, and internal coordination with key stakeholders
  • Managing CEO priorities across Loom, GChat, and ClickUp to move initiatives forward, clear roadblocks, and escalate only critical updates
  • Creating structured action items from asynchronous input (e.g., GChat, Loom, meetings)
  • Supporting one-off projects such as email sequence drafts, inbox cleanups, and reporting integrations
  • Assisting with occasional personal appointments and errands for the CEO and spouse as needed
  • Supporting ad hoc operational tasks such as formatting documents, organizing video libraries, and coordinating scheduling requests as needed
  • Collaborating with C-suite leaders and their assistants to support strategic alignment and move the CEO's initiatives forward across teams

This is a long-term opportunity to become a key operational partner. The right candidates will help identify inefficiencies, suggest process improvements, and eventually help standardize systems across the organization. We're looking for someone who can turn messy input into clear action, understands the evolving priorities of a growing company, and is ready to grow into a leadership-level executive assistant.

  • Able to work asynchronously and adapt to varied hours while maintaining reliable communication
  • Able to work effectively with a fast-moving CEO who leads with energy and clarity, and thrives on speed, creative problem-solving, and system-driven results
  • Comfortable working with AI tools as part of daily workflows, as this is a core expectation of the role

Position Details

  • This is a W2 employee position
  • Benefits include medical, dental/vision, PTO, sick time, paid holidays, a monthly remote stipend, and bonus pay
  • The position will be 40 hours per week
  • Hours are Monday - Friday with staggered shifts to provide coverage between 8:00 am - 7:00 pm CST. Each assistant will have a consistent schedule and should be available for either an earlier or later shift.
  • The pay rate is $30/hr. USD
  • You must be able to pass a background check
  • We're looking for someone to become a long-term (3+ years) team member
