Job Position: Talent Operations Project Manager

Work Arrangement: Fully Remote (LATAM or EA countries)

Job Type: Full-time, Independent Contractor

Work Schedule: 40 hours per week, Monday to Friday 9 AM – 5 PM EST

Role Overview:

We’re looking for a highly organized and proactive Talent and Recruitment Operations Project Manager to join our internal operations team. This role will be responsible for managing and evolving our project staffing and admissions processes, ensuring alignment between client needs and expert talent. You'll thrive in this role if you're a detail-oriented doer who thrives in a fast-paced, high-volume, startup environment. You will play a key role in building out our staffing infrastructure and helping define processes in a dynamic, evolving organization.The ideal candidate will be proactive and resourceful, with the ability to seek out answers independently. Excellent communication skills in English are essential for success in this role.


Purpose of Your Role:

To ensure the smooth and efficient staffing of AI experts onto client projects and manage the admissions pipeline for new talent. This role is foundational to the company's ability to deliver high-impact AI solutions by aligning the right experts with the right opportunities—quickly and accurately.

Key Responsibilities:

Staffing Operations

  • Own and manage the day-to-day staffing workflows, including tracking open roles, candidate pipelines, and staffing deadlines.
  • Maintain accurate and up-to-date documentation in tools such as Airtable, Slack, and Google Docs.
  • Coordinate staffing request threads and ensure timely communication across stakeholders.
  • Set up and manage client-specific Slack channels and internal coordination hubs.
  • Run bi-weekly staffing syncs with leadership to prioritize roles and align resources.
  • Track key staffing metrics (e.g., time to staff, open/close rates) and generate performance reports.
  • Help define and refine staffing SOPs in a fast-changing environment.

Cross-Functional Collaboration

  • Partner with GMs, Solutions Architects, and Delivery Leads to align staffing with client needs.
  • Provide regular updates on staffing health and talent pipeline to leadership.
  • Support smooth handoffs between staffing and project operations.
  • Collaborate cross-functionally to continuously refine workflows and priorities.

Admissions Operations

  • Manage AI-powered screening processes for new expert applications.
  • Schedule and coordinate expert interviews and manage end-to-end onboarding.
  • Ensure expert records are consistently accurate and complete across systems.
  • Drive improvements in admissions workflows to boost efficiency and candidate experience.

Requirements

Must-Have Requirements
  • 2+ years of experience supporting US-based clients, preferably in recruiting, talent operations, or project coordination.
  • Strong proficiency in Airtable, Google Docs, Slack, and other collaborative tools.
  • Experience with high-velocity environments, ideally in startups or fast-paced operational roles.
  • Comfortable with ambiguity; able to define and build processes as you go.
  • Highly organized, detail-oriented, and a strong project manager and executor.
  • Strong communication skills and ability to manage multiple stakeholders and priorities.

Nice to Have
  • Experience with AI sourcing tools such as GEM.
  • Background in technical recruiting or AI/ML talent operations.
  • Exposure to consulting environments or experience working with delivery teams.
  • Familiarity with staffing SLAs, pipeline reporting, or admissions processes in expert networks.
