Job description

We're seeking a detail-oriented, Virtual Assistant to support our client's team. This role serves as the first point of contact for tenant communications and helps maintain our operational systems while escalating urgent matters to Senior Property Managers.


Key Responsibilities

 

Tenant Communication & Support

  • Serve as first point of contact for tenant inquiries, managing shared inbox and prioritizing messages for appropriate follow-up
  • Review and process maintenance work orders, ensuring proper documentation and escalation of urgent issues
  • Monitor and escalate tenant satisfaction scores/surveys to appropriate team members
  • Maintain detailed notes and property updates in AppFolio to ensure accurate records
  • Coordinate utility transfers during tenant move-in/move-out transitions
  • Assist with new property onboarding and documentation requirements and requests

 

Leasing & Documentation Management

  • Process tenant move-ins/move-outs in AppFolio, ensuring accurate record-keeping
  • Assist with lease document preparation, renewals, and coordination with third-party leasing agents
  • Support property onboarding procedures, ensuring all necessary documentation is properly filed.

 

Administrative & Financial Support

  • Review and provide first-pass approval for accounts payable items
  • Maintain organized documentation in AppFolio and SharePoint
  • Assist with special projects as needed

 

Requirements

  • Previous experience in property management or customer service OR
  • Background in finance or accounting with interest in propertymanagement
  • Previous experience with AppFolio property management software
  • Strong written and verbal English communication skills
  • Comfortable communicating directly with tenants, vendors, and utility companies via phone, email, and text
  • Detail-oriented with excellent organizational abilities
  • Proficiency with Microsoft 365 suite (especially Teams and SharePoint
