The Role:

We are seeking an experienced Field Service Planner to join our team. This is a fully remote position with opportunities to travel in the field for hands-on experience, gaining insight into service operations and building rapport with technicians and customers.

The role will focus on monitoring job statuses, coordinating with internal teams such as Sales, Engineering, and Service, and scheduling service visits for all technicians.

Additionally, this individual will contribute to the development and optimization of our scheduling system.

Key Responsibilities:

Scheduling and Coordination:

  • Develop and maintain a comprehensive schedule for service visits, ensuring optimal allocation of resources and timely service delivery.
  • Monitor job statuses, providing regular updates to internal teams and stakeholders.
  • Coordinate with Sales, Engineering, and Service teams to prioritize jobs based on urgency and resource availability.
  • Resolve scheduling conflicts proactively and efficiently.

Contract Management

  • Manage current service agreements to ensure compliance with service level agreements (SLAs) and offerings outlined in contracts.
  • Coordinate with stakeholders on equipment maintenance scheduling to fulfill contractual obligations.
  • Monitor contract deliverables and timelines, ensuring alignment with customer expectations and organizational capabilities.

System Development And Optimization

  • Collaborate with the team to build out and improve the scheduling system for greater efficiency and transparency.
  • Identify areas for process enhancement and contribute to the implementation of scheduling tools or systems.

Internal Communication And Collaboration

  • Serve as the main liaison between the scheduling team and other internal departments.
  • Facilitate clear and consistent communication to ensure all stakeholders are aligned on job requirements and timelines.

Field Experience And Feedback Integration

  • Participate in occasional field visits to gain firsthand experience of service operations.
  • Use insights from field observations to refine scheduling practices and address operational challenges.

Data Management And Reporting

  • Maintain accurate records of schedules, job details, and technician assignments.
  • Generate reports on scheduling efficiency, job completion rates, and resource utilization.
  • Use data insights to drive continuous improvement initiatives within the scheduling process.

Customer Support And Satisfaction

  • Communicate with customers as needed to confirm service visit details and resolve scheduling concerns.
  • Ensure customer expectations are met by coordinating effectively with the service team.

Experience And Qualifications:

  • Associate’s degree or relevant work experience required.
  • Minimum of 1-3 years of experience in maintenance planning or field service scheduling required.
  • Strong organizational skills and ability to manage multiple priorities simultaneously.
  • Proficiency in scheduling software, MS Office, and CRM systems (e.g., Salesforce & ServiceMax).
  • Excellent verbal and written communication skills.
  • Experience coordinating schedules and managing resources in a service-oriented environment.
