American Heritage Lending, LLC located in Irvine CA is looking for a CRM Support Specialist position.

Position Overview:

A detail-oriented and proactive CRM Support Specialist will assist with optimizing our Customer Relationship Management (CRM) system for our sales teams. The ideal candidate will assist in maintaining accurate customer data, identifying areas of opportunity, analyzing customer interactions, and improving engagement strategies. This role is essential for enhancing customer experiences and driving business growth.

Essential Duties & Responsibilities include:

  • Assist in managing and maintaining the CRM database, ensuring data accuracy and integrity.
  • Generate reports and analyze CRM data to track campaign performance and customer trends.
  • Work closely with sales and marketing teams to ensure CRM effectiveness.
  • Assist in segmenting customer data for targeted marketing efforts.
  • Help troubleshoot CRM issues and coordinate vendors for solutions.
  • Test new enhancements and provide feedback to vendors.
  • Support customer journey mapping and automation workflows.
  • Stay updated on CRM best practices and suggest improvements.
  • Assist with lead distributions from external software.
  • Export/Import and transfer of leads.
  • Merging of duplicate contact records.
  • Assist with other technology requests such as Encompass Help Desk.


Experience & Minimum Qualifications (Skills, Knowledge & Abilities):

  • Entry-level to 1-2 years of experience in CRM, customer service, marketing, or administrative support.
  • Previous experience using CRM software (e.g., OptifiNow, HubSpot) is a plus but not mandatory.
  • Basic knowledge of CRM tools and willingness to learn new software.
  • Previous experience using LOS Encompass is preferred.
  • Experience with data entry, customer communications, or email marketing is beneficial.
  • Excellent documentation and process mapping skills.
  • Strong attention to detail and ability to maintain data accuracy.
  • Good analytical skills to interpret customer data and trends.
  • Strong problem-solving skills.
  • Excellent communication skills.
  • Excellent written communication skills.
  • Ability to adapt to change.
  • Strong team player with a high level of professionalism and initiative.
  • Organizational and multitasking abilities to handle CRM-related tasks efficiently.
  • Basic understanding of email marketing, customer segmentation, and automation (preferred but not required).
