Position Overview
As our Field Marketing Coordinator, you will be the driving force behind HiJiffy’s event marketing strategy—from initial planning and booth design to on-site execution and post-event logistics.
You’ll craft standout brand activations that engage attendees, manage every operational detail with precision, and turn each trade show into a powerful lead-generation and relationship-building opportunity.
In parallel, you’ll collaborate closely with the People team to plan and deliver our key internal gatherings, ensuring that our company-wide and team-focused events reflect the same level of creativity, organisation, and impact.
Key Responsibilities
External Event Strategy & Planning
Define and maintain the annual trade-show calendar in alignment with Sales and Marketing goals.
Negotiate booth space, sponsorships, and exhibit packages to align with marketing objectives.
Logistics & Production
Manage end-to-end booth production: coordinate with designers, vendors, freight forwarders, and venues.
Coordinate shipping, customs, and on-site setup/dismantle schedules, ensuring compliance with venue regulations.
Brand Activations & Collateral
Conceptualise and execute engaging brand activations that drive booth traffic and on-site engagement.
Manage the production of event collateral alongside the creative team.
On-Site Management
Be present on-site pre-event (setup), during the event (booth management, staff coordination) and post-event (dismantle).
Train and brief on-site staff and sales teams on processes and logistics (e.g. lead-capture processes, giveaways).
Budget & Vendor Management
Own and monitor event budgets; negotiate contracts and sponsorship packages to maximize ROI and cost efficiency.
Build and nurture strategic partnerships with venues, providers, and logistics vendors, securing favorable terms and ensuring flawless execution.
Event ROI Analysis & Growth Enablement
Set MQL and MRR targets for each event; collaborate with the Growth team to collect and analyze metrics— qualified contacts, key-account engagement, and MRR attribution— and leverage those insights to optimize budgets, activations, and event selection.
Collaborate with Growth to curate attendee lists of hoteliers and decision-makers, ensuring high-value prospects are handed off to Sales for on-site meetings and/or post-event demos.
Internal Event Coordination
Partner with the People team to plan and execute quarterly company-wide events and team-specific gatherings.
Manage all aspects of the event, from venue selection to agenda planning, from vendor coordination to on-site logistics.
Qualifications & Experience
Education:
Bachelor’s degree in Marketing, Business, Hospitality, or related field.
Experience:
At least 3 years in field or event marketing, preferably within a B2B SaaS environment (hospitality tech a plus).
Demonstrated success managing large-scale international exhibitions.
Technical Skills:
Exceptional project-management proficiency (tools such as Monday.com, Asana, Trello, or equivalent).
Fluent in English, written and spoken; additional languages (Spanish, French, German) highly desirable.
