Position Overview
We are seeking an exceptional Scheduler & Intake Coordinator to join our dynamic team. This role is vital to the client experience and the smooth operation of our practice. The ideal candidate is proactive, detail-oriented, and passionate about serving families with care and professionalism.

You’ll be the first point of contact for new clients, helping them feel seen, heard, and supported. You’ll also work closely with therapists and directors to ensure schedules run smoothly, sessions are optimized, and families receive the services they need.


 

Key Responsibilities

  • Serve as the friendly, professional first point of contact for inquiries (phone, email, website)

  • Guide families through the intake process with clarity and compassion

  • Collect and verify client insurance, documentation, and onboarding materials

  • Coordinate and manage complex scheduling for multiple therapists and locations

  • Monitor cancellations, waitlists, and rescheduling needs with efficiency and foresight

  • Collaborate with clinical and admin teams to support client care continuity

  • Maintain accurate records in our EMR system (experience with Central Reach or similar is a plus)


Who You Are

  • You have 2+ years of administrative, scheduling, or intake experience in a healthcare or therapy setting

  • You’re a strong communicator—clear, compassionate, and organized

  • You thrive in a fast-paced environment and are a natural problem solver

  • You are detail-obsessed and take pride in getting things right the first time

  • You bring positive energy and a team-first attitude

  • Bilingual (Spanish-English) is a plus, but not required
