About the Role

The Executive Assistant will support Senior Director with scheduling, travel, meetings, expenses, reports, and events. Interfaces with internal/external parties, including government agencies. Handles admin tasks and special projects to ensure smooth operations.

What You Will Do

  • Provide secretarial and administrative support to Senior Director.
  • Manage and maintain Senior Director’s schedules, synchronize Senior Director's appointments.
  • Handle all travel arrangements including accommodation, flight ticket bookings.
  • Handle and screen telephone calls.
  • Handle expense claims using a web-based reimbursement system matters etc.
  • Interact with both the internal and external parties for coordination of meetings.
  • Prepare management reports and meeting support.
  • Plan and coordinate meetings, conferences and events, both internal and external.
  • Familiar with working with government agencies.
  • From time to time this role will be expected to carry out other activities/special projects in order to assist in the efficient operation of the Company.

What You Need to Be Successful

  • Bachelor’s degree in any related field
  • 10 years of related experience, preferably in a manufacturing environment supporting senior management
  • International-level English communication skills (spoken and written)
  • Strong interpersonal skills; able to work effectively in multicultural and international environments
  • Experience working in a multi-layered matrix organization with multiple offices
  • Computer literate and proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • Excellent communication and analytical skills at all levels with both internal and external stakeholders
  • Ability to maintain confidentiality
  • Strong calendar and time management skills and proven ability to prioritize and meet deadlines independently

Bonus Points if You Have

  • Experience working in a multinational company
  • SAP experience
  • Proven ability to multi-task efficiently
  • Strong problem-solving skills: able to collect data, establish facts, and draw valid conclusions
  • Ability to quickly and accurately assimilate information from various sources
