The Virtual CARE Coordinator plays a vital support role at the Bay Area by managing caregiver schedules, assisting with recruitment, and facilitating initial client onboarding. This remote position works closely with HR, Operations, and CARE leadership to ensure seamless staffing, accurate documentation, and effective communication across teams.
Key Responsibilities
Scheduling & Staffing
Coordinate initial and ongoing caregiver schedules, ensuring coverage aligns with client needs.
Proactively manage callouts and shift changes using scheduling software.
Clearly communicate schedules and updates to caregivers and leadership.
Time & Attendance
Monitor caregiver attendance and update time records according to agency protocols.
Track and report issues such as tardiness, callouts, and shift refusals to the CARE team.
CARE Plan Oversight
Review and follow up on daily CARE logs to ensure completion of assigned tasks.
Update care plans for routine changes; escalate complex updates as needed.
Report any changes in client condition promptly to the appropriate team members.
Recruitment & Onboarding Support
Source candidates through established platforms and protocols.
Manage job postings, conduct initial phone screenings, and coordinate interviews.
Complete reference checks and support the onboarding process in collaboration with HR.
Client Onboarding & Invoicing
Review client schedules for accuracy and assist in preparing weekly invoices.
