Position Summary

We are seeking a detail-oriented and experienced Equity Administration Specialist to manage and administer the company’s equity compensation plans. The ideal candidate will have hands-on experience with the Fidelity platform (Stock Plan Services) and will play a key role in ensuring accurate processing, reporting, and compliance of all equity-related activities. This role partners cross-functionally with Finance, HR, Legal, and external vendors to support and scale our equity programs.

Key Responsibilities

Administer and manage all aspects of the company’s equity programs using the Fidelity platform, including stock options, RSUs, PSUs, and ESPP.

Process and track equity grants, exercises, releases, and cancellations with a high degree of accuracy.

Maintain accurate employee equity records in coordination with internal systems and the Fidelity platform.

Manage quarterly and annual reporting with internal finance teams and external auditors, including expense calculations under ASC 718.

Partner with HR and Legal to support grant approvals, employee communications, and policy documentation.

Provide support and education to employees regarding their equity holdings and Fidelity account management.

Ensure compliance with global and local equity regulations, tax laws, and internal controls.

Assist with audits, 409A valuations, and regulatory filings (e.g., Section 16 filings, Form 3921).

Collaborate with internal and external stakeholders to optimize equity systems, processes, and reporting capabilities.

Role includes responsibility for Board of Director payments as well as additional cyclical process support, including but not limited to: annual merit, surveys, proxy support, etc.

Qualifications

Bachelor’s degree in Finance, Accounting, Human Resources, or related field.

1+ years of experience in equity administration, preferably in a public or late-stage private company.

Strong proficiency with the Fidelity Stock Plan Services platform is required.

Solid understanding of equity compensation types, taxation, and compliance requirements.

Experience with equity reporting and expensing under ASC 718 is helpful.

Exceptional attention to detail and strong analytical, problem-solving, and organizational skills.

Excellent interpersonal and communication skills; ability to educate and support employees at all levels.

CEP (Certified Equity Professional) designation is a plus.
