Scope:
Manage communication and scheduling for a law firm, title company, and board member responsibilities
Organize and prioritize tasks across multiple business entities and professional commitments
Handle sensitive and confidential information related to legal cases and business operations
Coordinate with various stakeholders including clients, staff, and board members
Provide comprehensive administrative support to streamline executive’s professional and personal tasks
Responsibilities:
Manage and prioritize multiple email accounts, handling up to 500 emails daily across various professional commitments
Create concise yet comprehensive daily summaries of activities and action items
Schedule and coordinate meetings, phone conferences, and travel arrangements
Serve as the primary point of contact, managing communications with clients, board members, and staff
Organize and prioritize tasks across the law firm, title company, and professional association duties
Utilize legal software (My Case) and communication platforms (Slack, Gmail) to optimize workflow
Screen phone calls and emails, identifying high-priority items and potential high-value clients
Perform administrative tasks including data entry, research, and document preparation
Coordinate travel logistics, make dinner reservations, and handle other personal assistant duties
Proactively identify areas for process improvement and implement innovative solutions
Requirements
Proven track record as an executive assistant within a legal environment
Proficiency in Gmail, Slack, and ability to master new software platforms quickly
Exceptional organizational and time management skills
Outstanding written and verbal communication abilities
Unwavering commitment to confidentiality and high standards of professional conduct
Self-motivated with a proactive approach to problem-solving
Flexibility to align with Eastern Time Zone business hours
Familiarity with legal terminology and processes is highly advantageous
