Summary Description: We are seeking an experienced and detail-oriented Imagine Software System Administrator to support and optimize the Imagine billing platform used in our revenue cycle operations. This role is critical to ensuring payer rules, mappings, system configurations, and upstream data from various RIS/EMR systems and EDIs are accurately maintained to reduce billing errors, denials, and operational inefficiencies. You will act as a liaison between IT, RCM operations, and client teams, leading key initiatives and collaborating closely with internal analysts and external partners.
Daily Responsibilities
System Rules & Configuration
Validate, vet, and maintain ERS rules across payers and databases to avoid downstream issues like false debits, false credits, incorrect adjustments, incorrect patient statements
Create various checks and balances to avoid any future occurrence of the issues and maintain a project log to ensure there is full transparency
Create and maintain SOPs for system rule configuration and validation.
Payer Mapping & Communication
Ensure payer IDs are accurately mapped between Imagine, RIS/EMR, and EDI (Phicure) to avoid reworks.
Collaborate with Phicure credentialing contacts to address provider ID, billing rule, criteria builder logics, and split billing configurations.
Automation & Denial Prevention
Configure auto-adjustment rules to eliminate inflated AR from recurring underpayments or unconfigured adjustments.
Lead initiatives to prevent denials through pre-billing validation, working with upstream systems like RIS for insurance, COB, and PA data synchronization.
System Issue Resolution & Cross-System Coordination
Troubleshoot and manage HL7 interface issues between RIS/EMR and Imagine (e.g., demographics, charge transfers or PA truncations).
Establish and maintain crosswalk logic when incorrect plans are selected in RIS/EMR, ensuring accurate mapping in Imagine.
Reporting, Analysis, and Collaboration
Generate SQL/Imagine reports for auditing, rule tracking, and issue identification.
Help in building Infinx AR solutions by working with data analysts to train them on rule structure, reporting logic, and operational impact.
Operational Oversight
Lead weekly system administration calls with end client and internal teams to review priorities and blockers.
Maintain a project tracker for all outstanding system admin items and escalate issues requiring IT/vendor input.
Documentation and Process Governance
Drive creation and upkeep of SOPs across all system activities and ensure consultant/vendor sign-offs are captured.
Work closely with various Imagine solutions like Banking Q, Imagine Pay, Phicure and internally with coding, and billing teams to ensure alignment between process changes and system settings.
Skills and Education:
5+ years of experience in RCM systems administration with at least 2+ years in Imagine application
Strong SQL/reporting skills for rule analysis and audits
Experience with payer rules, insurance mapping, denial management, and cross-platform data integration
Strong understanding of healthcare billing workflows (radiology/imaging preferred but should be open to other specialties)
Experience working with all associated Imagine applications, various EMR/RIS/LIS systems and withother scheduling/credentialing platforms preferred
Familiarity with HL7 interface troubleshooting preferred
Previous experience working with multi state Imaging groups (200+ facilities across country) or of similar size operating in Imagine preferred
Excellent communication and stakeholder management skills
Strong analytical and problem-solving mindset
Ability to lead meetings and manage cross-functional priorities
Highly organized with a keen eye for detail
