HOW OUR SCHEDULING OPTIMIZATION SPECIALISTS CONTRIBUTE:
As part of our market leadership, the ConcertoCare Scheduling Optimization Specialist serves as a scheduling operations expert and coach and is responsible for supporting the performance of a central scheduling team. The ideal candidate is detail-oriented, organized, and dedicated to improving scheduling optimization processes to support timely and efficient healthcare delivery. This position is remote and reports to the VP of Strategic Operations.
Key activities include monitoring scheduling performance metrics, optimization of daily schedules for healthcare providers, facilitating access to care, and collaborating with other central and market leaders.
WHAT OUR SCHEDULING OPTIMIZATION SPECIALISTS DO:
- Manage Scheduling Optimization: Oversee daily scheduling optimization to meet appointment targets and optimize scheduling efficiency for provider visits.
- Operational Coordination: Collaborate closely with clinical and operations teams to adjust scheduling optimization as needed to support the organization's needs and field healthcare providers.
- Scheduling Strategy and Optimization: Develop and implement scheduling strategies that align with patient risk assessments, cadence targets, and operational goals to maximize patient engagement and provider capacity.
- Quality Control: Monitor scheduling optimization metrics, analyze patterns, and troubleshoot issues to improve appointment accuracy, reduce cancellations, and ensure adherence to established protocols.
- Process Improvement: Identify and drive improvements in scheduling optimization workflows, including scripting, job aids, and patient communication to enhance overall efficiency and satisfaction.
- Data Management and Reporting: Maintain accurate scheduling optimization data, analyze reports on drive times, scheduled appointments, and success metrics, and present insights to leadership to drive informed decision-making.
- Communication and Issue Resolution: Act as a primary point of contact for scheduling optimization issues and work closely with schedulers and stakeholders to resolve conflicts.
- Monitor operational workflows: Ensuring adherence to standard procedures and identifying and acting on opportunities to improve workflow design and efficiency.
- Champion Change: Lead implementation of new processes, programs, and pilots, taking on the effective role of scheduling optimization super-user and trainer for systems, pilot programs, and organizational initiatives.
- Develop and lead meetings required for management, training, education, and team building.
- Participate in interviewing, hiring, and training of new team members.
- Ensure team adherence to compliance policies, procedures, and standards of conduct including all applicable laws and regulations.
- Coverage of team duties as required.
- Other duties as assigned.

QUALIFICATIONS:
- Associate or bachelor’s degree; with public health, health or business administration studies preferred.
- 2+ years of experience in a healthcare scheduling or operations management role, preferably within a value-based or patient-centered care model.
- Proven experience in remote team management and ability to lead a geographically dispersed team effectively.
- Strong organizational and time management skills with an ability to handle multiple priorities and meet deadlines.
- Proficiency in scheduling software and electronic health record (EHR) systems; experience with scheduling optimization tools is preferred.
- Competency and average to advanced skills in data analytics, healthcare reporting, electronic medical records, and Microsoft Office applications.
- Strong analytical skills, with the ability to interpret data, identify trends, and propose actionable solutions.
- Excellent interpersonal and communication skills, with a focus on patient-centered service and team collaboration.
- Commitment to value-based care principles and improving access and quality of care for patients.
- Working knowledge of applicable regulations and state and federal laws.
Base Salary/ Wage Range $80,000 to $90,000 plus annual bonus. Compensation for the role is commensurate with the candidate’s qualifications, skills, competencies, and experience and may fall outside of the range shown.
