Job description

This is a remote position.

Schedule:  
  • 40 hours per week or 8 hours per day
  • Monday - Friday
  • 8:00 AM - 5:00 PM New York time
  • With 1 hour unpaid lunch break 

Client location or time zone: United States - EST

Company/client overview: The client is a law firm located in Tampa Florida, USA. Client offer services like record keeping, planning, legal advice, medical appeals, power of Attorney and many more.

Key Responsibilities:

  • Will assist client with personal calendar and personal calls running to both office and home

  • Greet clients in person, over the phone, or via electronic communication in a professional and compassionate manner.

  • Collect and input client information, including personal, medical, legal, or financial data, depending on the industry.

  • Assess the urgency and nature of client needs to determine appropriate services or referrals.

  • Explain the intake process, required documentation, and organizational services clearly and accurately.

  • Verify insurance, eligibility, or legal documentation as required.

  • Maintain accurate and up-to-date records in the client management system.

  • Coordinate with internal departments or external agencies to schedule appointments or services.

  • Handle sensitive and confidential information in compliance with HIPAA or other applicable regulations.

  • Provide clients with necessary resources or referrals when appropriate.

  • Follow up with clients to ensure completeness of records and ongoing needs.




Requirements


  • High school diploma or equivalent required; associate’s or bachelor’s degree in social work, healthcare, legal studies, or related field preferred.

  • Previous experience in an administrative, customer service, healthcare, or social service setting is highly desirable.

  • Excellent interpersonal and communication skills.

  • Strong organizational and time-management abilities.

  • Proficiency in Microsoft Office and electronic record-keeping systems.

  • Ability to handle high-stress situations and sensitive topics with empathy and discretion.
