Under the direction of the Associate Director of Facilities, develops, implements and maintains the facility management program including preventative maintenance, inspections, and repair activities;
Oversees, conducts and documents regular facilities inspections;
Ensures compliance with health and safety standards. Is familiar with, and ensures compliance with, all Local Law standards and codes, including food service facility requirements;
Liaises as required with Landlord on day-to-day building maintenance issues and requests including janitorial services and building and fire department compliance;
Oversees smooth running of all mechanical, electrical, plumbing, HVAC, cleaning, pest control and finishes maintenance;
Collaborates with conference center teams to provide conference room and special event support, as needed;
Manages contractor/vendor relationships, coordinating and monitoring activities of contract suppliers;
Works with Facilities Coordinators to ensure customer requests and maintenance/repair programs are completed and documented according to department standards;
Obtains quotes and tenders from vendors and suppliers to calculate and compare costs for goods and services to maximize cost-effectiveness;
Ensures certificates of insurance (COI) and other vendor documentation are obtained as required;
Reviews and approves vendor invoices for payment;
Assists with the preparation and tracking of departmental and capital budget;
Collaborates with the Associate Director on HR related functions, e.g. timekeeping, performance management, staffing and training;
Develops documentation and implements revisions to department policies and procedures as needed;
Generates and presents regular reports and reviews of facility-related finances, contracts, expenditures and purchases;
Keeps meticulous records and keeps up-to-date with local law requirements; and
Performs other duties, as assigned.
Qualifications
Bachelor’s degree, preferably in Facilities Management, Facilities Engineering or related qualification such as project management, business management or construction management;
At least 10 years of applicable professional experience within a corporate environment, including at least 2-5 years of solid experience involving supervision, strategic planning, project development and implementation;
Strong computer and technical systems knowledge, including Microsoft Office products;
Familiarity with reading and interpreting architectural and construction documentation;
Working knowledge of procurement and contracts;
Solid knowledge of health, safety and environmental regulations;
Experience in all facets of facility operation, including leadership and managerial experience of staff who maintain electrical and mechanical systems;
Excellent written and communication skills with demonstrated ability to plan, manage and execute multi-faceted projects that impact the entire organization;
First class planning and organizational skills;
Strong negotiation skills, financial acumen and ability to analyze and solve problems effectively;
Ability to leverage resources for maximum efficiency and cost-effectiveness;
Ability to work effectively under pressure and manage multiple priorities under tight deadlines;
Sound judgment and independent decision-making skills;
Strong commitment to excellence and customer service orientation;
Adaptability and ability to lead, work independently, and be a team player when needed; and

This position is located in our New York office. The estimated salary range for this position is $120,000 to $160,000. The actual salary offered will be based on a wide range of factors, including relevant skills, training, experience, education, and where applicable, licensure or certification obtained. Market and Firm factors are also considered. The Facilities Manager assists with the oversight and management of the day-to-day running of the Firm’s Facilities Department and the maintenance of the Firm’s premises, including general upkeep of the facility to provide an efficient and safe work environment, scheduling repairs, and supporting conference and events activity.
