Job Title: Clinical Operations Administration Generalist

Job Seniority Level: Entry level

The Clinical Operations Administration Generalist acts as an essential first point of contact for the Clinical Operations Development Director (CODD). This position is to provide administrative support to the Director to ensure comprehensive administrative excellence is maintained. While this position primarily supports the CODD, the administrative role is responsible for assisting all clinical operations leadership and organizational needs. This role would suit a highly motivated individual who wants to combine their administrative and positive interpersonal skills to make a difference within the Therapeutic Alliance LLC clinical team, a difference that impacts the entire community from the clients served and their families to the clinical and support services teams.

Job Specification

  • Provide administrative support to include all company events and conferences, including managing budgetary requirements.
  • Centrally responsible for audio conferencing capabilities including video linking, facilitating remote employee connectivity.
  • Required to undertake clinical operations duties as assigned by line manager including but not exclusively attending meetings, taking notes, and following up on deadlines with stakeholders. Assisting team members when they are on PTO, and providing some clinical oversight.
  • Assist in facilitating combined clinical operations and people operations processes such as travel request reviews, offboarding staff, and managing client budgetary requirements.
  • Focal point of all incoming and outgoing correspondence from the company central hub.
  • To ensure all clinical team members time reporting compliance and accuracy by managing all time approvals
  • Preparing rooms for meetings and gatherings as directed by the CODD.
  • Create documents and a broad range of administrative tools using software knowledge.
  • Effectively manage competing demands within the area of responsibility. 
  • Build collaborative and supportive working relationships with the TA community, including sending out anniversary and birthday acknowledgements.
  • Promote the aims and values of the Therapeutic Alliance and reinforce pro social modeling skills by reinforcing pro social behavior and attitudes and challenging anti-social behavior and attitudes. 
  • Support the innovation, development and implementation of quality improvement plans in line with the company goals.  
  • Adhere to all policies in respect of the sensitive/confidential nature of the information handled whilst working in this position.  
  • Have a flexible attitude to support the clinical teams to deliver at pace

Qualifications

  • Bachelor's degree in a related field preferred.
  • Prior experience in Applied Behavioral Analysis or related field is a plus.
  • Proficient with Microsoft Office Suite and EHR (Rethink)
  • Proficient in managing HR platforms, payroll processing, and timekeeping systems.
  • Experienced in utilizing various HR software tools to track time and attendance, manage leave requests, and generate reports for performance and compensation analysis
