Job Description Summary:
As the CISL AO Intern, you will provide on-site administrative support to the Computing Information and Systems Lab (CISL). Support may include varied duties ranging from routine office tasks, matrixed administrative team support to tasks requiring the use of independent judgment within established policy guidelines, practices, and procedures. You will also assist with preparation for summer visitors and the education and outreach interns. This is a full time student intern position that runs from mid-May through early August. End date may be flexible.

NSF NCAR’s Computational and Information Systems Laboratory (CISL) is a leader in supercomputing and data services necessary for the advancement of atmospheric and geospace science. CISL’s mission is to remain a leader at the forefront of ensuring that research universities, NSF NCAR, and the larger atmospheric, oceanographic, and related research communities have access to the computational resources they need for their research. To fulfill the need for a stronger workforce at the intersection of High Performance Computing (HPC) and geoscience problems, CISL engages in education and outreach activities to inspire and attract a diverse future workforce.

What You Will Do

Here is a brief summary of what one would expect to be generally responsible for in this role.

Workshops, Meetings and other Administrative Support:  

  • Onsite support for staff and visitors.
  • Assists with administrative and logistical support.  Maintains and monitors staff calendars. 
  • Supports online meeting software such as Google Meets, Slido, Zoom and others. 
  • Supports meetings: onsite and support for CISL in partnership with the lead admins.
  • Assists with arrangements for seminars, workshops, and meetings.
  • Prepares presentation materials.
  • Organize and set-up visitor office spaces
  • Edits/proofreads/formats administrative and/or scientific, general correspondence and specialized technical documents and edits non-technical portions for correct grammar, spelling and formatting. Prepares mass mailings for distribution.

General administrative support:

  • Maintain program databases and update web pages.
  • Help update processes and procedure documentation.
  • Edit and compile information for documents, posters, brochures and newsletters.
  • Provide multimedia support at program events (photos, video) and keep inventory of program pictures.
  • Provide meeting support, prepare meeting and conference booth materials.
  • Organizes and maintains general office supplies and places orders

Additional tasks and professional development opportunities may be assigned according to the intern’s skills and interests.

Education and Experience (Required/Desired):

  • Must be enrolled in a college, university or accredited professional program. High school diploma or equivalent.

Knowledge, Skills, and Abilities (Required/Desired)

  • Ability to work 40 hours/week from May 12 - August 1, 2025.
  • Knowledge of word processing, database, and spreadsheet applications in a Windows environment (Microsoft Word, PowerPoint, Excel, Access) as well as a Google Apps environment (Sheets, Docs, etc).
  • Proven ability to organize, prioritize, and follow through on multiple tasks, with close attention to detail.
  • Good written and verbal communication skills with the ability to convey information to interns, visitors, and partners in a welcoming and professional manner. Skill in proofreading.
  • Interest and sensitivity in working in diverse settings that include interns from a broad spectrum of underrepresented groups.
  • Proven ability to work in a team and individually. A strong work ethic.
  • Patience and adaptability.
  • Discretion in handling confidential information.
