Your Role:

As a People Coordinator, you will play a vital role in supporting the People and Culture team by delivering a seamless and efficient HR service. Acting as the first point of contact for employees and managers, you will manage day-to-day HR queries, ensure compliance with policies and processes, and contribute to a positive employee experience.

Key Responsibilities

  • Act as a first point of contact for HR-related queries, providing guidance or escalating as needed.
  • Support employee engagement initiatives and handle confidential matters with discretion.
  • Conduct thorough checks of right-to-work documentation, ensuring compliance with legal requirements.
  • Verify and maintain accurate records for work authorisation and immigration documents.
  • Generate reports on work authorisation compliance and track expiring work permits.
  • Maintain and update employee records in the HR database, ensuring accuracy and compliance with data protection regulations.
  • Provide accurate employee data to the payroll team for processing.
  • Answer and direct incoming phone calls promptly and accurately.
  • Monitor and manage incoming requests via the ticketing system, ensuring tickets are logged, categorised, and assigned appropriately.
  • Provide first-line support by addressing common queries or escalating complex issues to the relevant teams.
  • Collaborate with internal departments to ensure accurate and effective resolution of tickets.
  • Receive, sort, and distribute incoming post accurately and efficiently.
  • Attend meetings (virtual) to take clear and accurate notes of discussions.
  • Prepare and distribute meeting minutes in a timely manner.

What You Need

  • Proven experience in an HR or administrative role, ideally in a remote setting.
  • A strong understanding of HR processes and best practices is desirable.
  • Excellent communication and interpersonal skills, with the ability to oversee sensitive information discreetly.
  • Highly organised and detail-oriented, with the ability to manage multiple priorities.
  • Knowledge of employment laws and regulations (UK-specific is desirable).
  • Fluent in English, with excellent written and verbal communication skills

Specific Aptitude/skills Required

  • The post holder must possess the necessary interpersonal skills to build and maintain positive relationship with all employees in the company.
  • A high level of flexibility is required to cover changes in services, depending on business levels and requirements
