We are looking for an HR Administration Specialist to join our team. This role involves managing key HR processes, ensuring data accuracy, and supporting both contractors and internal stakeholders. The ideal candidate is detail-oriented, proactive, and skilled in HR systems, with a passion for process improvement and effective collaboration.

Main Responsibilities 

Contractor Lifecycle Management

  • Oversee the complete contractor lifecycle, including onboarding, contract renewals, payment tracking, and offboarding.
  • Communicate with contractors to ensure contracts are accurate, terms are clear, and payments are processed on time.
  • Collaborate with finance to track contractor expenses, ensuring compliance with company policies and alignment with budget forecasts.

Data Management & Reporting

  • Maintain accurate and up-to-date HR records across all systems and data sources.
  • Generate and update regular reports, including headcount, turnover, accruals, and budget-related metrics.
  • Work closely with the finance team to ensure HR data aligns with financial reports and supports decision-making.

HR Systems Administration

  • Act as the primary contact for maintaining and troubleshooting HR systems and databases, providing support for team queries.
  • Ensure data integrity across HR systems by identifying and resolving discrepancies.
  • Assist with the implementation or upgrading of HR tools, including data migration and system integration as needed.

Process Optimization

  • Identify opportunities to streamline or automate manual processes to improve efficiency in HR data management and reporting.
  • Develop and maintain clear process documentation for reporting, contractor management, and system use to standardize procedures.

Organizational Support

  • Support initiatives related to organizational leveling and grading, both as a project and on an ongoing basis as required.
  • Contribute to other tasks as assigned by the Senior Manager or team leadership.
Requirements

Skills & Qualifications

  • Bachelor’s degree in Human Resources, Business, Data Analytics, or a related field, or equivalent work experience.
  • Proficiency in Excel and experience with complex HRIS systems (e.g., ADP, SAP) and reporting tools.
  • Strong attention to detail with a proactive mindset for identifying and resolving data issues.
  • Experience in contractor or external vendor management is a plus.
  • Excellent organizational skills and the ability to manage multiple tasks in a fast-paced environment.

Language Skills

  • English: B2/C1
  • Russian: Native

Special Work Experience Required

  • Minimum 2 years of relevant experience in HR, contractor management, or data reporting roles.
